Job description

Position Summary

We are seeking a highly organized, detail-oriented, and professional Human Resources Administrative Assistant to provide administrative and operational support to the Human Resources department. This position will assist with employee records, onboarding, recruitment coordination, HR documentation, employee engagement, and general HR administration.

The ideal candidate is proactive, approachable, and capable of managing multiple priorities while maintaining a high degree of confidentiality and professionalism.


Key Responsibilities

Human Resources Administration

  • Provide day-to-day administrative support to the Human Resources department
  • Maintain accurate and confidential employee personnel files and HR records
  • Update employee information within the Human Resources Information System (HRIS)
  • Prepare HR correspondence, reports, spreadsheets, and employee documentation
  • Assist with processing employee changes, including new hires, transfers, promotions, and terminations
  • Respond to general employee questions and direct inquiries to the appropriate HR team member


Onboarding & Offboarding

  • Coordinate new hire onboarding activities and orientation schedules
  • Prepare new hire paperwork and onboarding materials
  • Ensure required employment documentation is completed accurately and timely
  • Coordinate with internal departments regarding new hire equipment and system access
  • Assist with employee offboarding and termination documentation

Employee Records & Compliance

  • Maintain employee files in accordance with company policies and record retention requirements
  • Assist with Form I-9 documentation and employment eligibility records
  • Support HR audits and compliance initiatives
  • Track required employee documentation, certifications, and training records
  • Maintain strict confidentiality of employee and company information

General Administrative Support

  • Coordinate HR meetings and maintain department calendars
  • Order HR and onboarding supplies
  • Prepare presentations and meeting materials
  • Assist with special HR projects and process improvement initiatives
  • Perform additional administrative duties as assigned

Qualifications

  • Associate's or Bachelor's degree in Human Resources, Business Administration, or a related field preferred
  • 1–3 years of administrative experience; Human Resources experience preferred
  • Experience supporting onboarding, recruiting, or general HR administration is a plus
  • Proficiency in Microsoft Office, including Outlook, Word, Excel, and PowerPoint
  • Experience with HRIS or Applicant Tracking Systems preferred
