Job description

Position Title: Grant Writer

Reports To: Superintendent (or designee)
Pay: $60,000
FLSA Status: Exempt 


Position Summary

The Grant Writer / Grants Coordinator is responsible for identifying, developing, and securing external funding opportunities that support district programs, initiatives, and strategic priorities. This position leads the full grant lifecycle, including research, writing, submission, compliance, and reporting.

This role is expected to generate significant external funding for the District, with a long-term goal of securing at minimum $250,000 annually in awarded grant funding. It is understood that the first year will focus on: building a sustainable grant pipeline and a minimum grant generation of the cost of the position (roughly $150,000 for salary and benefits). Full attainment of the annual funding goal may occur over time as opportunities are developed and awarded.


Critical Roles and Responsibilities

(May include, but are not limited to the following)

Grant Development & Submission

  • Research and identify local, state, federal, and private grant opportunities aligned with District priorities
  • Develop and write compelling, high-quality grant proposals and applications
  • Collaborate with district leadership, administrators, and program staff to define project scope, needs, and budgets
  • Maintain a grant calendar to track deadlines, submissions, and follow-ups
  • Ensure all applications are complete, accurate, and submitted on time

Funding & Revenue Accountability

  • Work toward securing $250,000 or more in annual grant funding to support District programs and initiatives (by year 2)
  • Develop and maintain a strong pipeline of grant opportunities to support long-term funding success
  • Track submitted vs. awarded grants and analyze success rates
  • Provide regular updates to the Superintendent and Board on funding pipeline, submissions, and awards

Grant Management & Compliance

  • Coordinate awarded grant implementation with program leads
  • Monitor grant requirements to ensure compliance with all funding guidelines
  • Prepare and submit required reports (financial and programmatic) to granting agencies
  • Maintain organized records of all grant documents, contracts, and communications
  • Work with the admin team and department 
  • Grant reporting and financial accounting in partnership with the Business manager 

Collaboration & Strategic Alignment

  • Work with District leadership to align grant opportunities with strategic goals and priorities
  • Support development of new programs or expansion of existing services through grant funding
  • Build relationships with funding agencies, community partners, and stakeholders

Budget Development & Oversight

  • Assist in developing grant budgets in collaboration with Finance
  • Ensure funds are used appropriately and in accordance with grant requirements
  • Monitor expenditures and coordinate with Business Office for reporting and audits

Knowledge, Skills, and Abilities

  • Strong writing, editing, and research skills with attention to detail
  • Ability to translate program needs into compelling funding proposals
  • Knowledge of grant funding sources and application processes (federal, state, and private)
  • Strong organizational and project management skills
  • Ability to manage multiple deadlines and priorities
  • Data analysis and reporting skills
  • Strong interpersonal skills and ability to collaborate across departments

Minimum Qualifications

  • Bachelor's degree in English, Communications, Public Administration, Education, or related field
  • Experience in grant writing, fundraising, or related field
  • Demonstrated success in securing grant funding preferred
  • Experience in Excel, Microsoft Office, and the Google Suite

Preferred Qualifications

  • Experience working in a K12 education setting
  • Familiarity with federal and state education grants
  • Experience with grant compliance and reporting requirements

Performance Expectations

  • Demonstrate measurable progress ($150,000 minimum) toward securing $250,000 in annual grant funding, with the understanding that: 
    • Year 1 focuses on research, relationship-building, and pipeline development
    • Ongoing years reflect increasing success in securing and sustaining grant funding at or above the target level
  • Maintain a consistent and strategic grant submission schedule 
  • Submit all required reports accurately and on time
  • Demonstrate alignment of grant funding with District strategic priorities

Working Conditions

  • Primarily office-based with extended periods of computer use
  • Occasional evening or extended hours to meet grant deadlines

Performance of this position will be evaluated annually by the Superintendent based on:

  • Grant funding secured
  • Quality and timeliness of submissions
  • Compliance and reporting accuracy
  • Collaboration and support of district initiatives
