General Description / Primary Purpose:
The Assistant Director of Gift Processing is responsible for the daily management and oversight of gift processing operations to ensure the accurate, timely, and efficient processing of charitable contributions. This position supervises gift processing staff, supports continuous process improvement, maintains compliance with IRS regulations and industry standards, and serves as a key operational partner within Advancement Operations.
Job Function:
Responsibilities include, but not limited to:
  • Supervise the daily operations of the Gift Processing team to ensure timely, accurate, and efficient processing of all charitable gifts.
  • Direct and support the gift processing team, providing coaching, training, performance management, and professional development.
  • Manage end-to-end gift processing, including receipting, acknowledgments, donor records, adjustments, pledges, matching gifts, payroll deductions, stock transfers, electronic funds transfers (EFT/ACH), and Gifts-in-Kind.
  • Monitor departmental workflow, assign priorities, and ensure established service standards and deadlines are consistently met.
  • Develop, document, maintain, and update departmental procedures and operational standards.
  • Train Advancement staff on gift processing policies, procedures, database standards, and best practices.
  • Research, recommend, and assist with implementing technology enhancements and process improvements that increase efficiency and accuracy.
  • Reconcile gift activity with Foundation Accounting on a monthly basis and assist with month-end, calendar year-end, and fiscal year-end processing.
  • Maintain accurate financial records and provide documentation and reports to support annual financial audits.
  • Oversee account establishment, fund maintenance, and related gift administration processes in collaboration with Foundation Accounting.
  • Provide functional support for Raiser's Edge, including troubleshooting, queries, reports, imports, and user assistance.
  • Participate in system testing, software upgrades, database enhancements, and implementation of new technologies.
  • Assist with special projects within Advancement Operations.
  • Monitor compliance with IRS regulations, CASE Reporting Standards, Foundation policies, and all applicable federal and state regulations related to charitable gift processing and receipting.
  • Maintain confidentiality of donor information and ensure adherence to data governance and security standards.
  • Perform other duties as assigned in support of Advancement Operations.

Marginal Functions
  • May serve on the Search & Screen Committee for Director-level and above positions.
  • May represent the university on local, system-wide, or state committees.
  • During declared campus emergencies, this position may be required to perform specific job-related duties at a designated off-campus location or place of residence.

Required Qualifications
Master's and 2+ years of relevant experience or Bachelor's degree and 4+ years of relevant experience. Or an equivalent combination of education and experience pursuant to Fla. Stat. 112.219.
