Gift Processor Part-Time

Salary - $30.00 – hourly

This is a hybrid position and will require both in-office (1 day) and remote work. This is a part-time position requiring approximately 21 hours per week.

CancerCare is a leading national nonprofit organization providing free professional support services to anyone affected by cancer. We are seeking a highly organized, detail-oriented professional to join our Advancement Operations team as a Gift Processor.

This role is ideal for an individual who enjoys data management, donor stewardship, and supporting fundraising operations through accurate gift processing and exceptional customer service.

The Gift Processor is responsible for the timely and accurate processing of charitable contributions and maintenance of donor records within CancerCare's CRM system, Virtuous. This role supports the Advancement team by ensuring gifts are entered accurately, donor information is maintained according to organizational standards, and acknowledgment processes are completed in a timely manner. 

The Gift Processor serves as a critical member of the Advancement Operations team, helping to ensure exceptional donor stewardship through accurate gift administration and data management.

The Gift Processor will be responsible for:

Daily Responsibilities

  • Processing all incoming gifts, including checks, online donations, donor-advised fund distributions, stock gifts, matching gifts, and workplace giving contributions
  • Entering and updating donor and gift records in Virtuous CRM accurately and efficiently
  • Verifying gift coding, campaign assignments, appeal designations, and fund allocations
  • Reviewing gift batches for accuracy and completeness prior to posting
  • Maintaining electronic records and supporting documentation for all gifts

Donor Acknowledgments & Stewardship Support

Daily/Weekly Responsibilities

  • Generating acknowledgment letters and donor receipts according to established timelines
  • Ensuring donor recognition and tribute gift information is accurately recorded
  • Assisting with the processing of memorial and honorary gifts and related notifications
  • Responding to routine donor record updates, including address changes and contact information corrections
  • Responding to routine donor inquiries by phone, email, and mail, providing exceptional customer service and ensuring timely resolution of questions related to gifts, acknowledgments, and donor records

Data Quality & Record Maintenance

Weekly Responsibilities

  • Reviewing donor records for duplicates, incomplete information, and data inconsistencies
  • Updating constituent records based on returned mail, donor communications, and other data sources
  • Maintaining accurate donor coding, tagging, and segmentation fields within Virtuous
  • Supporting ongoing database cleanup initiatives

Advancement Operations Support

  • Supporting event-related data entry, including registrations, sponsorships, and attendance records
  • Assisting with year-end giving activities, tax receipt preparation, and audit-related documentation
  • Serving as a professional and courteous point of contact for donors and other external stakeholders
  • Maintaining confidentiality and security of donor information at all times
  • Following established Advancement Operations procedures and documentation standards
  • Providing general administrative support to the Advancement team as needed

Cross-Department Collaboration

  • Working collaboratively with Advancement, Finance, Events, and Program teams to ensure accurate donor and fundraising data
  • Assisting with gift batch reconciliation and support coordination between Advancement and Finance to ensure accurate recording of fundraising revenue
  • Supporting organization-wide fundraising and stewardship initiatives through timely and accurate administrative support
  • Associate's degree or equivalent professional experience
  • 1–3 years of experience in gift processing, donor database management, data entry, bookkeeping, or nonprofit administration
  • Strong attention to detail and commitment to data accuracy
  • Experience working with CRM databases or fundraising software, preferably Virtuous
  • Proficiency in Microsoft Excel, including basic data management functions
  • Excellent organizational and time management skills
  • Ability to handle confidential donor information with discretion
  • Strong written and verbal communication skills
  • Strong customer service orientation and ability to interact professionally with donors, volunteers, and colleagues
  • Willingness to adapt to fluid and changing priorities and challenges
  • Ability to work well with diverse individuals of all levels and backgrounds
