WaterAid America is looking for a Gifts Coordinator on a temporary basis to help ensure the smooth day-to-day administration of WaterAid's development operations. We are looking for a candidate available to start ASAP.
This position is a back-fill opportunity requiring approximately 10-15 hours per week for the next 8-10 weeks. WaterAid's core business hours are 9 am - 5 pm Eastern. Applicants may be located anywhere in the US (New York, NY and/or Eastern time zone preferred).
The Coordinator role processes and reconciles donations, responds to public inquiries, and helps with general administration. We are looking for someone who is fluent in Salesforce and Excel to handle gift entry, with a strong customer service orientation to serve as supporters' first point of contact with WaterAid.
Responsibilities include:
  • Complete daily gift entry accurately and consistently into WaterAid's Salesforce CRM: input/ import gift transactions from giving platforms, complete matching gift requests, identify and merge duplicate records, update constituent contact details, etc.
  • Generate weekly reports, such as the "sweep" and to prepare acknowledgments.
  • With Finance team, reconcile deposits each week, ensuring gifts are correctly coded and back-up documentation is recorded to WaterAid's SharePoint.
  • Respond to supporter emails and voicemails and record engagement in Salesforce; capture new and updated contact details, flag and/ or deliver follow-up as needed; alert relationship managers where needed; support relationship managers with day-to-day questions and updates in the CRM.
  • Update online giving platforms as needed, ensure verbiage is up to date, respond to platforms' compliance requests, as needed.
  • Complete special projects, as assigned.

Qualifications:
  • 1+ years' relevant work experience, such as data entry/ management, customer service, finance support role, etc.
  • Proficiency in Salesforce CRM (WaterAid uses Nonprofit Cloud and Apsona), and comfortable with formatting and importing data, checking work thoroughly and identifying errors.
  • Proficiency in MS Teams, particularly in SharePoint and Excel, comfortable manipulating data sets and using functions like mail merge, vlookup, concatenate, conditional formatting, auto-sum, table formats, pivot tables, etc.
  • Serve as WaterAid's first point of contact for general and donation inquiries (phone, mail, email) from mission-related questions to trouble-shooting the donation process; route calls and leads to relevant staff.
  • Process-focused, with strong attention to detail. A proven track record of delivering tasks and meeting deadlines; comfortable escalating concerns and asking questions.
  • Positive and flexible approach to collaborating across teams and functions; professional manner and excellent communication skills, and commitment to WaterAid's values of respect, accountability, collaboration, courage, innovation and integrity, and a working style that reflects these.
