Job description

This is a full-time position, in office. Monday-Friday 9AM-5PM
Job Duties and Responsibilities
Benefits Administration:
  • Serve as the primary point of contact for employee benefits questions and issue resolution (including but not limited to deductions, earnings, and coverage)
  • Ensure compliance with federal, state, and local regulations related to benefits administration, including COBRA, FMLA, HIPAA, ACA, and ERISA
  • Coordinate new hire enrollments, qualifying life event changes, and annual open enrollment processing with oversight from HR Leadership
  • Assist with the administration of employee benefits programs, including health insurance, retirement plans, and other company offerings.
  • Prepare communications on benefit changes or updates, educational materials, and newsletters for employees
  • Maintain benefits arrears tracking, invoicing, and communication with oversight from HR Leadership
Leave Administration:
  • Serve as the primary point of contact for employees and managers regarding leave eligibility, policies, procedures, and documentation requirements
  • Administer employee leave programs including Family and Medical Leave (FMLA), military leave, bereavement leave, short-term disability, long-term disability, and other company-sponsored leave programs
  • Track leave balances, return-to-work dates, accommodations, and required certifications while maintaining accurate and confidential records
  • Ensure compliance with federal, state, and local leave laws and company policies
  • Partner with HR Leadership and Employees Supervisor to support employees transitioning to and from leave status
  • Monitor leave trends and prepare reports related to leave utilization and compliance
  • Provide guidance and training to managers and employees regarding leave policies and procedures
Employee Wellness Program:
  • Coordinate and promote employee wellness initiatives focused on physical, mental, and financial well-being
  • Organize wellness activities such as health screenings, fitness challenges, educational workshops, and employee engagement campaigns
  • Assist in developing wellness communications and incentives to encourage employee participation
Employee Onboarding:
  • Conduct pre-screening of applicants
  • Lead the employee onboarding process form point of offer acceptance through 'release to work' date
  • Coordinate pre-employment activities including background checks, onboarding paperwork, and system setup requirements
  • Ensure all required employment forms, tax documents, and compliance materials are completed accurately and submitted on time
  • Prepare onboarding materials, benefits packets, and required employment documentation for new employees
  • Set up and maintain accurate employee records in HRIS and onboarding systems
  • Monitor onboarding progress and conduct follow-up communication to support successful employee integration and engagement
  • Provide ongoing support to new hires during their introductory period and address onboarding-related questions or concerns
Team Support:
  • Maintain accurate and up-to-date employee records and HR databases.
  • Provide administrative and operational support to the HR Team to ensure efficient daily operations
  • Provide ideas/suggestions for process improvement to HR Leadership
  • Contribute to continuous improvement efforts by identifying opportunities to streamline workflows and enhance employee experience
  • Prepare reports and data summaries for HR Leadership
  • Support the HR Leadership with various projects and tasks as needed
Job Requirements
Required Education
  • None
Required Work experience
  • Minimum of 1-2 years of benefits and/or leave administration experience
Required knowledge, skills, and abilities
  • Ensure all documentation is accurate and up to date, minimizing errors and discrepancies.
  • Maintains organized documentation and ensures timely completion of tasks, forms, and communications
  • Demonstrates exceptional attention to detail and accuracy in benefits administration, employee records, reporting, and data entry
Preferred qualifications
  • BS Human Resources, Business Admin, or related field
  • CEBS, SHRM-CP, or PHR certification
  • Experience working in healthcare or critical access hospital setting
  • Experience in administering self-insured health plan
