Dual Role: Accounting and HR Support 

Position Summary
We are seeking an experienced and highly dependable Accounting & Operations Manager to oversee the company's day-to-day accounting functions while also supporting office administration, fleet management, compliance, HR, and operational problem-solving.
This is a hands-on, highly trusted position for someone who is comfortable taking ownership and becoming the go-to person within the office. Approximately 80% of the role will focus on accounting and 20% will focus on office management and operations.
The ideal candidate is assertive, organized, tech-savvy, resourceful, and solution-oriented. We are looking for someone who doesn't simply identify problems but takes initiative to research solutions, coordinate resources, and follow issues through to resolution.

Required Qualifications
  • Proven experience in full-charge bookkeeping, full-cycle accounting, or accounting management.
  • Strong knowledge of A/R, A/P, reconciliations, invoicing, collections, and financial reporting.
  • Payroll processing experience.
  • Experience with QuickBooks Desktop.
  • Strong computer and Excel skills.
  • Basic HR knowledge and experience handling employee-related matters.
  • Strong administrative and organizational skills.
  • Demonstrated ability to troubleshoot issues and independently find solutions.
  • Excellent communication and follow-through.
  • Ability to manage confidential financial and employee information.
 
Key Responsibilities
Accounting & Financial Management – (Approximately 80%)
  • Manage the company's day-to-day accounting and bookkeeping operations.
  • Oversee Accounts Receivable (A/R) and Accounts Payable (A/P).
  • Prepare and process customer invoices.
  • Monitor A/R aging and manage customer collections and follow-up.
  • Prepare and send monthly customer statements.
  • Prepare financial reports and assist with financial analysis.
  • Process and record bank deposits.
  • Oversee inbound/Outbound ACH payments and ensure payments are accurately applied.
  • Coordinate domestic and international wire transfers.
  • Review and reconcile company credit card statements.
  • Perform bank and account reconciliations.
  • Review driver gas logs, fuel receipts, and supporting documentation.
  • Process and manage company payroll.
  • Maintain accurate and organized financial records.
  • Handle accounting-related filing and document management.
  • Research and resolve accounting discrepancies.
  • Maintain accounting records using QuickBooks Desktop.
  • Maintain confidentiality of sensitive financial and company information.
Office Manager Duties: 

HR Support
  • Serve as a first point of contact for basic employee and HR-related matters.
  • Assist with workers' compensation cases and related documentation.
  • Address routine employee concerns and escalate matters to HR when appropriate.
  • Assist with employee meetings and workplace communications.
  • Work closely with HR support regarding employee issues and workplace matters.
  • Help maintain a professional and productive office environment.
  • Serve as a go-to resource for day-to-day HR questions while appropriately escalating more complex matters.
  • Other Duties as assigned
