Listings Operations Coordinator
Gulfshore Life seeks a Part-Time Listings Operations Coordinator to join the team as we continue to elevate and evolve our brand.
Who We Are: Established in 1970, Gulfshore Life is a luxury lifestyle publication that covers the people, places and culture of Southwest Florida (Collier, Lee and Charlotte counties). We produce 12 issues a year, in addition to several special edition publications.
What Weโ€™re Looking For: ย 
We are looking for someone who is highly organized, detail-oriented and proficient in multitasking. This role oversees the production systems behind recurring editorial lists, annual guides and franchise packages. The position is equal parts operations manager, researcher, proofreader and data coordinatorโ€”ensuring listings remain accurate, organized and on schedule year after year. This person will work internally with editorial, art, production, advertising and marketing teams, as well as communicating with nonprofits, arts organizations and outside contributors.
The ideal candidate has strong familiarity with Southwest Floridaโ€”from Marco Island to Punta Gordaโ€”and understands the regional landscape well enough to identify gaps, inconsistencies or geographic imbalance in coverage. They should be comfortable managing large amounts of information across email submissions, spreadsheets, PDFs and InDesign proofs while independently keeping projects on schedule in a deadline-driven environment.
What Youโ€™ll Do: ย 
  • Manage recurring listings, guides and franchise production workflows from outreach through final print prep
  • Coordinate submissions, organization outreach, deadlines and master tracking systems across multiple annual publications
  • Fact-check, clean, organize, and standardize large sets of listings and event data for print production
  • Prepare and proof production-ready files in collaboration with editorial, art, web and freelance teams
  • Maintain year-over-year continuity by preserving contacts, templates, formatting systems, and operational workflows
  • Monitor workload timelines, production bottlenecks and process improvements to help shape the long-term structure of the role
