Position Summary
At OTECH, we are guided by our commitment to community, learning, and integrity in everything we do. We are seeking a collaborative and solution-oriented professional to design, build, and maintain automated workflows, eForms, and CRM-based solutions that enhance operational efficiency and ensure high-quality data across the college. In this role, you will partner with departments to analyze business processes and translate requirements into scalable automation solutions, support informed decision-making through reporting and data insights, and contribute to a culture of learning by creating training materials, documentation, and hands-on training to support adoption of workflow automation and CRM tools. The incumbent will also perform other duties as assigned.
This position reports directly to the Director for Data and Workflow Automation and plays a key role in supporting systems that serve our employees, students, and broader college community.
Essential Functions
1. Design, build, and maintain automated workflows, eForms, and CRM-based solutions to support business processes and improve operational efficiency and data quality.
2. Analyze business processes; gather and document requirements; translate requirements into scalable workflow automation and CRM solutions.
3. Manage the implementation and ongoing maintenance of workflow and CRM solutions, including testing, deployment, system monitoring, and troubleshooting issues to ensure reliability and effectiveness.
4. Identify improvement areas and opportunities to drive operational efficiencies; develop recommendations to streamline operations and improve data flow across departments.
5. Develop reports, dashboards, and data outputs to support operational and strategic decision-making.
6. Configure and support integrations between workflow automation software, CRM, and other institutional systems; collaborate with Information Technology to resolve technical issues and ensure data accuracy and consistency.
7. Collaborate with the college's Information Technology department and other stakeholders to ensure alignment with data governance, security, and privacy requirements.
8. Create training materials and provide periodic training for the workflow automation software and CRM, as well as end-user training for reports and dashboards.
9. The incumbent shall perform other duties as assigned.
Requirements
1. Associate degree, post-secondary certificate, or two (2) years of experience working with workflow process automation software, project management and development, Salesforce administrator, or similar CRM administrator or equivalent combination of education and work experience.
2. Experience working with data systems and tools, including database management and querying, basic web technologies, and the use of platforms that support workflow automation, reporting/analytics, or customer relationship management.
3. A creative problem-solver, able to investigate and remediate issues with minimal supervision.
4. Demonstrate excellent customer service, organizational, and problem-solving skills.
5. Excellent multi-tasking, time management, project management, and prioritization skills with the ability to remain focused on details.
6. Knowledge of data governance principles, database design, and workflow design.
7. Self-starter with excellent work ethic and the ability to work independently and in a team environment.
8. Strong verbal and written communication, analytical thinking, and independent judgment skills that support a collaborative, customer service-focused environment.
9. Must be friendly, dependable, flexible, and receptive to change
Physical Requirements:
1. Typically, the employee may sit comfortably to perform work; however, there may be some walking; standing; bending; carrying light items; driving an automobile, etc. Special physical demands are not required to perform the work.
2. Risks found in the typical office setting, which is adequately lighted, heated, and ventilated, e.g., safe use of office equipment, avoiding trips and falls, observing fire regulations, etc.
Additional Information
WORKING HOURS: Monday through Friday, 8:00 a.m. to 5:00 p.m., with one weekday (Monday-Wednesday) scheduled from 10:00 a.m. to 7:00 p.m.
