To be successful in this position, the ideal candidate demonstrates the ability to quickly learn new software and processes, maintain exceptional organization while managing multiple priorities, and leverage CRM software experience to support accurate documentation, efficient communication, and streamlined operations. Success in this role also requires strong attention to detail, effective cross-functional collaboration, and the ability to contribute to the timely and successful delivery of construction projects while supporting the organization's mission.
GENERAL FUNCTION:
Reporting to the Construction Operations Manager, the Construction Operations Coordinator provides administrative, procurement, and operational support to the Construction Department. This position works closely with the Construction Operations Manager and Field Manager to coordinate purchasing, inventory, scheduling, documentation, training records, permit applications and project logistics that support the successful delivery of Asheville Area Habitat for Humanity's New Home construction program.
KNOW HOW:
Committed to the mission of Asheville Area Habitat for Humanity, the incumbent will possess strong organizational, communication, and customer service skills with the ability to manage multiple priorities in a fast-paced environment. The successful candidate will demonstrate attention to detail, proficiency with Microsoft Office and database software, and the ability to learn construction management software. Experience in administrative support, purchasing, logistics, inventory coordination, or construction operations is preferred. The ability to work collaboratively with multiple departments, volunteers, vendors, and construction staff is essential.
Procurement & Inventory Coordination
  • Coordinate weekly material, tool, and equipment requests from construction staff.
  • Order and track construction consumables, office supplies, and approved materials.
  • Maintain inventories of tools, equipment, surplus materials, and supplies.
  • Assist with receiving, organizing, and distributing construction materials.
  • Coordinate volunteer drivers and material deliveries.
  • Pick up materials, tools, and equipment from local suppliers as needed.
  • Update inventory and purchasing records in construction management software.
Construction Operations Support
  • Enter and maintain project information in Buildertrend and other construction software.
  • Assist with project setup and data management.
  • Prepare meeting agendas, record meeting minutes, and distribute follow-up information.
  • Maintain electronic and paper construction files.
  • Coordinate dumpsters, portable restrooms, recycling, mowing, and other site services.
  • Schedule vehicle maintenance and repairs.
  • Maintain the construction department calendar.
  • Assist with buybacks and warranty.
  • Assist with permit applications, utility coordination, permit boxes, and project signage.
  • Coordinate with the Development Department on construction-related events.
  • Assist with project photo documentation.
  • Prepare and distribute construction plans, specifications, and project documents.
General Department Support
  • Provide administrative support to the Construction Operations Manager, Construction Manager, and Field Manager.
  • Coordinate communication with vendors, subcontractors, volunteers, and internal departments.
  • Assist with Gift-in-Kind donations and material buy-back coordination.
  • Support special projects and departmental initiatives.
  • Perform other duties as assigned.
QUALIFICATIONS
    • 1 or more years’ experience in residential construction, project management, or financial administration (Habitat experience preferred).
    • Knowledge of construction terminology, schedule/sequencing, tools and equipment
    • Highly organized, attention to detail
    • Strong planning skills

WORK ENVIRONMENT AND PHYSICAL DEMANDS:
Most of the work is done in a professional office environment and routinely requires operating standard office equipment such as computers, photocopiers, etc.
At times there will be site work on a construction worksite where there will be exposure to dirt, dust, dampness, construction debris, extreme temperatures, construction noises, fumes and odors from construction materials.
Must be able to:
  • Stand or walk for the majority of a workday, including working on uneven surfaces.
  • Regularly lift 10-35 pounds;  occasionally 50 pounds or more.
