Job description

Position Summary

Kayser Ford Inc. is seeking a highly organized and customer-focused Central Dispatcher / Lead Service Advisor to support our Commercial Truck Service Department. We are a fast-paced environment that handles the needs of many area fleets encompassing all makes and models of fleet trucks, as well as individual owners with their specific vehicle needs. This leadership role is responsible for coordinating workflow between shop foreman, technicians, biller and service advisors.

The ideal candidate has strong automotive or diesel service experience, excellent communication skills, and the ability to thrive in a fast-paced dealership environment.

Key Responsibilities

  • Keep unapplied time low using back-to-back job assignments and making sure correct techs are given correct jobs to keep them productive.
  • Help techs with proper time keeping in our shop software to ensure proper time billing on service lines and job tickets.
  • Daily checking of special-order parts for current and upcoming work.
  • Constant communication between shop foreman, advisors and billers.
  • Maintaining a steady workflow through the shop by informing advisors of the type of work to bring in or back off.
  • Daily updates on work in progress (WIP), shop proficiency, tech productivity and sales onto our tracking board.
  • Keeping updated with manufactures guidelines as well as changes in warranty for multiple product lines to maintain daily workflow and obtain high CSI scores.
  • Mindfulness of workload for a second shift with daily explanations of pickup times and special requirements for customer pickup.
  • Ability to drive end of month closure of repairs and time tracking for profitability of operations.
  • Serve as backup advisor for truck and fleet service customers
  • Coordinate scheduling and communication between customers, advisors, technicians, and parts department
  • Assist service advisors with estimates, warranty procedures, and customer concerns
  • Support technician development and maintain a positive team environment

Qualifications

  • Valid driver's license
  • Previous automotive, diesel, or truck service department experience required
  • Ability to work well under pressure in a high-volume environment
  • Clear communication skills.
  • Strong understanding of dealership operations and repair order processes.
  • Understanding of class 4-8 trucks.
  • Strong organizational and multitasking skills. 
  • Computer literate.

Preferred Experience

  • Ford dealership or commercial truck fleet experience
  • Prior dispatching, service advising, or shop foreman experience preferred
  • Knowledge of warranty administration and fleet maintenance operations on multiple product lines
  • Working knowledge of both mechanical operations of trucks as well as accessories
