Job description

Job Ad – Part-Time Fleet Service Writer

TransTrash is seeking a dependable, organized Part-Time Fleet Service Writer to support the daily operations of our maintenance department. This role works directly with our in-house mechanics to coordinate maintenance records, schedule required services, track equipment, and help keep our fleet operating safely and efficiently.

This position is for part-time hours, very flexible on what hours can be worked with the potential to turn into a full-time job as well.

Responsibilities

  • Create, update, and close work orders to accurately document maintenance and repairs for trucks and trailers.
  • Coordinate with in-house mechanics to ensure repairs and preventive maintenance are properly tracked and completed.
  • Pick up parts from local suppliers as needed.
  • Schedule DOT inspections, licensing appointments, and other required fleet services.
  • Monitor electronic logging (E-Log) records to help ensure compliance with FMCSA regulations.
  • Track preventive maintenance schedules and notify mechanics and office staff of upcoming service requirements.
  • Maintain organized equipment files, including maintenance history, warranty repairs, and inspection records.
  • Assist in maintaining compliance with company safety standards and regulatory requirements.
  • Perform other administrative duties as assigned to support the maintenance department.

Requirements

  • Self-motivated with excellent organization and planning abilities
  • Oral and written communication skills with ability to maintain strong documentation
  • Ability to utilize a computer/tablet for electronic processing of work orders which includes adding inventory, labor hours, and updating work order statuses
  • Ability to utilize Microsoft Excel spreadsheets
  • Valid driver's license with the ability to run local errands.

Preferred

  • Previous administrative, clerical, or maintenance shop experience.
  • Experience in the trucking, transportation, heavy equipment, or diesel repair industry.
  • Familiarity with FMCSA regulations, E-Log systems, or fleet maintenance software is a plus.

Experience in all areas is not required—we are willing to train the right candidate who is organized, dependable, and eager to learn.
