POSITION SUMMARY

The Fleet Operations Coordinator oversees the company's vehicle fleet to ensure efficient operations, safety compliance, and cost-effective management. This role includes coordination efforts between sales, operations, supply chain, and the logistics departments. The coordinator will take ownership of the order fulfillment needs from the time sales makes an initial request until the unit is delivered to the customer. This role requires a levelheaded team player that can ensure overall team success with every request, supporting overall company Sales, logistics and operational objectives.

LOCATION

  • Onsite in Fort Wayne, IN or Forth Worth, TX

COMPENSATION

  • This position offers a competitive compensation package, benchmarked to regional market standards. It consists of a base salary plus the opportunity for quarterly profit sharing after one year of employment.

RESPONSIBILITIES

  • Coordinate daily fleet operations, ensuring vehicle readiness and maintenance factoring in labor capacity
  • Coordinate vehicle repairs, inspections, and compliance with safety standards.
  • Manage Repair Schedules, WIP Prioritization, Asset Allocations across all PTR and non PTR Locations, and overall timely & accurate order fulfillment.
  • Coordinate with the master scheduler on production schedules across all PTR and non PTR locations
  • Ensure teamwork and continuous improvement.
  • Analyze sales orders and identify availability of assets and cost-saving opportunities for PTR and our customers by considering vehicle specs, duration of rental, and logistical costs to provide recommendations that work for all parties throughout the order selection and fulfillment process.
  • Product, upfit and industry knowledge including customer specific requirements
  • Collaborate with logistics, operations and supply chain teams for optimal vehicle deployment.
  • Implement scheduling systems to enhance vehicle utilization and minimize downtime.
  • Ensure compliance with local, state, and federal fleet regulations.
  • Use fleet management software to monitor vehicle utilization, maintenance, and operational metrics.
  • Maintain high standards of customer service, addressing issues proactively.
  • Coordinate with internal departments to ensure fleet operations align with broader business goals.
  • Ensure the fleet team effectively and efficiently fulfill sales orders to meet our customers' needs.
  • Strong administrative skills to create and manage workshop orders, parts request, excel spreadsheets and sales orders for multiple locations at the same time across multiple databases

REQUIREMENTS

MUST HAVE

  • 2+ years of fleet related experience.
  • Some knowledge of the rental industry, customer service, upfits, and equipment.
  • Strong leadership, organizational, and multitasking skills.
  • Work in and out of defined process/systems.
  • Excellent analytical, communication, and problem-solving abilities.
  • Ability to work collaboratively with cross-functional teams but also work independently.
  • Ability to make decisions on your own quickly.
  • Proficiency with fleet management software and related technology.
  • Proficiency in utilizing D365, Fleet Wave or other scheduling software, Power BI reporting, SharePoint, internal databases, and Microsoft Office Suites (Outlook, Excel, etc.).
  • Ability to work indoors and outdoors as needed.
  • Availability to take after hours or weekend calls to fulfill sales orders.

NICE TO HAVE

  • Bachelor's degree in business administration, Logistics, Supply Chain Management, or a related field.
  • Limited to no travel required.
