Job description

Summary of Position
The Coordinator, Acquisitions & Co-Productions position will support the two Co-Heads of Acquisitions & Co-Productions. In addition to administratively supporting both EVPs, this person owns the processes as it relates to submissions tracking, screenings, project evaluation and responses, and all logistics as it relates to team preparation for festivals/markets
Responsibilities
  • Maintain calendar, scheduling, travel arrangements and itineraries, and expense reports for the department's co-heads. This includes arranging internal and external meetings, internal screenings, and working with company's travel agency.
  • Manage phone sheets and rolls calls, taking notes on each call to keep track of follow-up items.
  • Create and implement processes to improve the efficiency of how the team shares information, keeps track of deals/projects/submissions, and stays in synch with other departments at the company.
  • Organize and distribute weekend read. Summarize at the start of each week next steps for reviewed submissions. Flag what each team member is reading and/or watching.
  • Take notes in meetings and summarize action items.
  • Compile research regarding sales titles before, during, and after the festivals. Disseminate research on a regular basis and cross-functionally as needed.
  • Support other executives on the team to distill information to share concisely with other departments e.g., production/development, international.
  • Analyze scripts, footage, and films that have been submitted to the team and draft correspondence when needed to respond professionally on behalf of the execs.
  • Work with the acquisitions team and our IT department in designing and maintaining the internal database for submissions and automating reporting as needed to facilitate timely responses, including weekly reporting to the Chairman.
  • Collaborate with other members of the team to help prioritize scheduling of festival/market meetings, interdepartmental meetings and screenings.
  • Take the lead on logistical and organizational tasks as needed, especially those requiring cross-departmental coordination.
  • Support the Acquisitions & Co-Productions team as needed, as the role evolves

Qualifications and Skills
  • 1-2 years of experience at a film studio, production company, sales agency, distributor, or entertainment company (internships may count)
  • Ability to evaluate films for quality and commercial viability and articulate their potential clearly to the team
  • Deep knowledge of film history, both past and present, with a genuine passion for cinema
  • Proficiency with Google Workspace and/or Microsoft Office, particularly for building and maintaining trackers and reports
  • Proficiency with tracking and database tools - Airtable, Filemaker, or similar CRM/submissions management software
  • Familiarity with screener platforms (Sceners, Vimeo, Cinando, Indee, etc.)
  • Strong written skills, specifically the ability to write concise, professional coverage and executive-facing summaries
  • Comfort working in a fast-paced environment with shifting priorities, especially during festival season
  • Discretion and sound judgment when handling confidential deal information Self-starter who can multitask and manage several projects simultaneously without close supervision
  • Proactive communicator who flags issues and follows up without being prompted
  • Ability to synthesize large amounts of information (scripts, screeners, market data) quickly and accurately
  • Collaborative and low-ego - this role serves multiple executives and cross-functional teams

Nice to Haves
  • Bachelor's degree, preferably in Film Studies, Communications, Business, or a related field
  • Familiarity with major international festivals and markets (Cannes, TIFF, Sundance, Berlinale, AFM, EFM) and how acquisitions activity functions within them
  • Understanding of the film sales and distribution landscape - domestic and international - including how deals are structured
  • Familiarity with rights management concepts and an understanding of distribution windows and emerging platforms (theatrical, streaming, VOD)
  • Basic comfort with automation tools (Zapier, Monday.com, Notion, or similar) to support database and reporting workflows
  • Experience coordinating festival logistics (badge procurement, screening schedules, meeting grids, hotel/travel)

Additional Requirements
This position requires five (5) days per week in office.
