Job description

POSITION: Legal Assistant
DEPARTMENT: Personal Injury
FLSA STATUS: Full-Time, Non-Exempt
SUPERVISOR: Sr. Paralegal
JOB DESCRIPTION:
The Legal Assistant will be communicating with new clients, insurance companies, police departments, state municipalities, and other agencies while working in our personal injury practice. The Legal Assistant will work directly with paralegals, attorneys, and other employees to open and manage cases for our clients. The position includes potential for upward mobility and advancement within the firm while working alongside other staff and attorneys.
  • Send out introduction emails with Welcome Packet once retainer is received
  • Follow-up with clients to ensure intake is completed and request any initial missing information
  • Letters of representation to appropriate parties / insurance companies / subrogation
  • Ensure that no-fault claims are established; complete and submit application for benefits
  • Request police reports and perform other investigative tasks as needed
  • Verify wage loss information; send out wage loss verification forms; work with client to receive appropriate wage loss documentation; submit wage loss requests to no-fault as needed
  • Assist with maintaining and organizing client files
  • Assist with medical records and itemized billing statement requests
  • Assist with the preparation of and filing of no-fault arbitrations
  • Assist with client communications and updates
  • Send IME Notifications to clients and assist in scheduling IME appointments
  • Assist in maintaining the attorney calendars and scheduling of statements; depositions; mediations; etc.
  • Assist with the litigation process as directed by the paralegal and attorney
  • Draft and send out withdrawal letters as assigned / close client files in Clio / close client files on the Master PI list / submit withdrawal letters to Walker Portal as needed
  • Assist with demands as assigned
  • Assist with the proper handling and documenting of client file costs and invoices
  • Other tasks and duties as assigned and as needed for the proper and efficient handling of client claims/files

REQUIREMENTS:
  • Willingness to learn and work in a fast-paced, dynamic environment.
  • Strong interpersonal skills.
  • Strong attention to detail.
  • Effective time management.
  • Great at working in a team environment.
  • Experience with high activity of phone calls and emails.
  • Proficiency in Google Suite and Microsoft Suite

PHYSICAL REQUIREMENTS:
  • Ability to sit for extended periods of time.
