We are seeking an experienced and highly organized Legal Assistant to join our Minneapolis office and provide support to attorneys practicing in Litigation and Real Estate.

Position Overview

The Legal Assistant will provide high-level administrative and legal support to attorneys and their clients in a busy practice environment. This position requires someone who is detail-oriented, proactive, dependable, and comfortable managing multiple priorities while maintaining a high degree of confidentiality and professionalism.

The ideal candidate will have prior experience in a law firm or professional services environment and will be comfortable supporting both litigation matters and real estate transactions. The ability to anticipate attorney needs, communicate effectively, and take ownership of assignments will be essential to success in this role.

 

Litigation Support

  • Prepare, format, proofread, and revise correspondence, pleadings, motions, briefs, discovery documents, and other legal documents.
  • Assist with electronic filing in state and federal courts and maintain awareness of applicable filing requirements and deadlines.
  • Maintain litigation calendars, including court appearances, hearings, depositions, discovery deadlines, and other important dates.
  • Assist with preparation for depositions, hearings, trials, mediations, arbitrations, and other proceedings.
  • Coordinate service of pleadings and other legal documents.
  • Organize and maintain electronic and paper case files.
  • Assist with discovery organization and document management.
  • Communicate professionally with clients, opposing counsel, courts, vendors, and other parties as directed.
  • Track deadlines and follow up on outstanding items to ensure matters remain on schedule.

Real Estate Support

  • Prepare, revise, and proofread real estate agreements, correspondence, closing documents, and other transactional documents.
  • Assist attorneys with real estate transactions from initial documentation through closing.
  • Coordinate and organize due diligence materials and maintain transaction files.
  • Assist with preparation and organization of closing documents and closing checklists.
  • Coordinate with clients, lenders, title companies, brokers, municipalities, and other parties involved in transactions.
  • Track transaction deadlines and follow up with attorneys and outside parties as necessary.
  • Maintain accurate and organized electronic files and transaction records.

General Legal Assistant Responsibilities

  • Manage attorney calendars, meetings, and appointments.
  • Coordinate travel and other logistical arrangements as needed.
  • Prepare expense reports and assist with time entry and billing-related tasks.
  • Monitor incoming correspondence and communications and ensure appropriate follow-up.
  • Open, organize, and maintain client and matter files.
  • Assist with client intake and other administrative processes.
  • Provide backup support to other attorneys and legal assistants as needed.
  • Maintain strict confidentiality regarding client and firm information.
  • Perform other duties and special projects as assigned.
Qualifications
  • 3+ years of legal assistant experience, preferably in litigation, real estate, or both.
  • Strong knowledge of legal terminology, procedures, and professional standards.
  • Experience with state and federal court filing procedures is preferred.
  • Strong document preparation and proofreading skills.
  • Excellent organizational skills and exceptional attention to detail.
  • Ability to manage multiple deadlines and competing priorities.
  • Strong written and verbal communication skills.
  • Ability to work independently while also contributing effectively to a collaborative team.
  • Professional demeanor and excellent client-service skills.
  • Proficiency with Microsoft Office, particularly Word and Outlook.
  • Experience with legal document management, electronic filing, and case management systems is preferred.
  • Ability to exercise sound judgment and maintain confidentiality.
  • A positive, team-oriented attitude and willingness to assist others.
