Full Time – Benefits Specialist

The Benefits Specialist administers the daily employee concerns/matters in the following functional areas: Human Resource Information Systems (HRIS), leaves of absence including ADA/Non-FMLA, benefits administration with multiple open enrollments, termination entry/separation notices, workers’ compensation, unemployment, 401K retirement plan, tuition reimbursement and relocation. Prior experience working with multiple state locations and the ability to work closely with remote offices to ensure program compliance and employee satisfaction is required. This position will provide an employee-oriented, high performance culture that emphasizes empowerment, quality, productivity and standards, goal attainment, and ongoing development of a superior workforce.  

Responsibilities

  • Maintains employee-related HRIS (ExponentHR) system regarding all day-to-day benefit administration which includes, but is not limited to: 
    • Administer employee benefits, including enrollments, life events, eligibility, and data maintenance in ExponentHR. 
    • Provide employee support and education regarding benefit programs and Open Enrollment.  
    • Prepare routine and ad hoc reports and assist with benefits audits and reconciliations. 
  • Fully utilizes the company’s HRIS system to the company’s advantage. 
  • Manage benefits-related administrative processes, including arrears, health support orders, invoice reconciliation, and compliance activities.in ExponentHR after receiving appropriate documentation including the required separation notices and exit interviews.  
  • Respond to all unemployment claims accurately including but not limited to gathering information (i.e. resignation letter, disciplinary actions, policy, etc.) and coordinate hearings with Leaders in conjunction with the third-party administrator.  
  • Assist with employee workers’ compensation injury/illness which includes: 
    • Administer workers' compensation and occupational injury processes, including claim reporting, investigations, carrier coordination, and adjuster communications. 
    • Ensure OSHA compliance through required recordkeeping, reporting, and annual postings.  
    • Collaborate with the insurance broker to review and maintain claims accuracy. 
    • Maintain the 401K Retirement Plan employee questions and includes deferral feedback files, funding and correcting errors if applicable. 
  • Administer all leave of absence requests, including Non-FMLA, FMLA, state, and other protected leaves, by reviewing requests, determining eligibility, coordinating with third-party administrators, responding to employee and manager inquiries, monitoring leave status, ensuring compliance, and facilitating the transition from FMLA to the ADA interactive process, when applicable. 
  • Answer disability claims and demographic requests from the third-party administrator and state-sponsored programs as required. 
  • Ensure ADA accommodation requests are timely answered and coordinated (workplace and requests for leave). 
  • Process all benefit carrier invoices and reconciliation internally to Accounts Payable. 
  • Answer Tuition Reimbursement question as they arise. 
  • Administer and respond to high volume email communication/Fed Ex activity.  
  • Educate employees on policies and procedures. 
  • Comply with all BayMark policies and procedures, Compliance policy and Code of Ethics. 
  • Comply and protect the interest of Employee/Company with existing governmental and labor legal and government reporting requirements including any related to but not limited to the Equal Employment Opportunity (EEO), the Americans With Disabilities Act (ADA), the Family and Medical Leave Act (FMLA), California Family Rights Act (CFRA), Pregnancy Disability Leave (PDL), Individual states leaves and regulations, Employee Retirement Income Security Act (ERISA), the Department of Labor, worker compensation, the Occupational Safety and Health Administration (OSHA), San Francisco City/County Ordinances and so forth including Paid Parental Leave (PPL). Maintains minimal company exposure to lawsuits. 
  • Must be present during working hours on site and access to a computer without violating company policy. 
  • Remain composed of a stressful environment, frequent deadlines and multiple priorities.  
  • Ability to interact with all staff in a professional, ethical, positive and motivational fashion supporting the Company’s mission. 
  • Other duties and projects assigned.
