Job description

JOB SUMMARY: To provide the general HR support with a variety of clerical activities and related tasks. The HR and Executive  assistant will be responsible for answering incoming calls, handling basic HR support calls,  directing calls and taking messages for the appropriate associates, mail distribution, and requisition of supplies as well as additional clerical duties. Must be proficient in the use of Windows and Microsoft office applications, like Word, Excel and Outlook.

JOB REPSONSIBILITIES:

  • Assists with administrative tasks.
  • Answers telephones and directs the caller to the appropriate individual or take a message when unavailable.
  • Greets and directs visitors to the company.
  • Coordinate lunches as needed.
  • Handling of sensitive and extensive confidential information.
  • Composes, types and edit correspondence, reports, memoranda and other material.
  • Maintaining the company’s phone list.
  • Assisting in helping new hires setup their workstation, telephone and voicemail.
  • Receives, sorts and forwards incoming mail. Maintains and routes publications.
  • Coordinates the pick-up and delivery of express mail services (FedEx, UPS, etc).
  • Responsible in the ordering, receiving, stocking and distribution of office and kitchen supplies.
  • Assists with other related clerical duties such as photocopying, faxing, filing, and collating.

JOB REQUIREMENTS:

  • High School Diploma, Associate’s and/Bachelors Degree or two to three years’ of administrative experience in a corporate setting.
  • High degree of accuracy, attention to detail and confidentiality.
  • Proficiency in the use of Windows and Microsoft Applications (Word, Excel, PowerPoint)
  • Must have excellent organization, communication and follow-up skill.

  • Ability to handle a large variety of detail and work with all levels of the organization
