Texas Prisons Community Advocates (TPCA) is a 501(c)(3) grassroots nonprofit founded in July 2021. We are dedicated to advocating for incarcerated Texans and their loved ones. Our mission is to support affected families and individuals, raise public awareness, and foster empowerment through education, collaboration, and connection to community resources — all with the goal of creating humane conditions within the Texas prison system.

With a passion for justice and an out-of-the-box approach to advocacy, TPCA is building a powerful movement. We are currently seeking nominations and applications for Volunteer Board Members, including an individual to serve in the vital leadership role of Board Secretary.

General Board Member Responsibilities

    • Support TPCA’s mission, policies, and strategic priorities.
    • Attend and actively engage in board meetings and special events.
    • Serve on at least one board committee.
    • Come prepared to participate thoughtfully in board discussions.
    • Assist in fundraising efforts and make an annual personal contribution.
    • Use personal and professional networks to promote TPCA’s work.
    • Represent TPCA in the community and advocate for its mission and values.
    • Comply with TPCA’s conflict-of-interest and confidentiality policies.
    • Be willing and able to commit to 5-20 hours per month.

Secretary Position – Key Responsibilities

TPCA is specifically seeking a Board Secretary to play a critical role in maintaining the structure, documentation, and communication flow of the organization’s governance activities.

The Secretary’s responsibilities include:

    • Record Keeping: Accurately record and maintain minutes for board and committee meetings.
    • Meeting Coordination: Prepare and distribute agendas, minutes, and relevant materials in advance of meetings.
    • Document Management: Maintain official records, including bylaws, meeting records, and board policies.
    • Compliance Monitoring: Ensure the board complies with required filings and internal governance procedures.
    • Communication Facilitation: Serve as the liaison for board-related correspondence and documentation.
    • Support Leadership: Assist the President and Executive Committee in maintaining organized board operations and timely communication.

This role is ideal for someone who is detail-oriented, organized, and values clear communication and structured governance.

Desired Skills & Expertise

We are looking for diverse and dynamic individuals who bring a variety of skills and experiences. The ideal candidate for the Secretary role will have:

    • Proven experience in administrative or governance roles, preferably within a nonprofit
    • Exceptional attention to detail and organizational skills
    • Proficiency in word processing, spreadsheets, and digital file management
    • Familiarity with nonprofit governance and Robert’s Rules of Order is a plus
    • Ability to maintain confidentiality and impartiality
    • Experience with nonprofit governance or board support is a plus.
    • A commitment to transparency, accountability, and mission-driven service.
