Job description

We are seeking an experienced Executive Assistant to provide high-level administrative and scheduling support to senior executives who frequently travel between New York and Abu Dhabi. This role requires exceptional organization, discretion, and flexibility, with a strong understanding of global time-zone coordination and executive priorities.
The ideal candidate will serve as a trusted partner-anticipating needs, managing complex schedules, and ensuring seamless day-to-day operations in a fast-paced, executive-facing environment.

Schedule: Monday-Friday, 8:00 AM-5:00 PM (must support executives operating on Abu Dhabi time)
Salary: $110,000 annually

Key Responsibilities
Executive & Scheduling Support

  • Manage complex executive calendars, prioritizing meetings based on urgency and business impact.
  • Schedule meetings, events, trainings, offsites, and travel across multiple time zones, including Abu Dhabi.
  • Book meeting rooms, external venues, and travel accommodations as needed.
  • Register visitors using appropriate internal systems and ensure meeting logistics are prepared in advance.
  • Prepare and distribute agendas, record meeting notes, and share minutes as requested by executives.
Document & Information Management
  • Maintain accurate contact lists and organized filing systems.
  • Handle confidential documents and sensitive information with the highest level of discretion.
  • Prepare internal memos, correspondence, and documentation for executive review.
  • Track unit expenditures and business expenses; maintain accurate records.
  • Manage document signatures and maintain required records.
  • Maintain a centralized contracts database and cross-check agreements with internal and external stakeholders.
Additional Support
  • Provide ad hoc administrative and operational support based on evolving team and business needs.
  • Act as a key point of coordination between executives and internal and external stakeholders.
Qualifications & Experience
  • Bachelor's degree preferred.
  • 5-10 years of experience in an Executive Assistant or similar senior administrative role.
  • Experience supporting senior leaders in fast-paced, global, or executive-facing environments.
  • Proven ability to manage multiple priorities under time pressure.
