Executive Operator information

What is an executive operator?

Executive Operators are high-level professionals responsible for overseeing the daily operations and strategic direction of a business or organization. They often work closely with executive leadership to implement policies, optimize efficiency, and ensure that company goals are met. Their duties may include managing teams, coordinating projects, and ensuring compliance with regulations. Executive Operators play a crucial role in bridging the gap between executive decision-makers and operational staff, helping to turn strategic plans into actionable results.

What are the main responsibilities of an executive operator in coordinating with senior leadership and other departments?

An Executive Operator typically serves as a key liaison between senior executives and various departments, ensuring that operational strategies are executed efficiently and aligned with organizational goals. This role often involves managing high-priority projects, streamlining communication, and monitoring process improvements across teams. Executive Operators must be adept at balancing multiple tasks, facilitating cross-functional collaboration, and providing actionable insights to leadership. Regular interaction with department heads is common, and the ability to adapt to shifting priorities is essential for success in this dynamic environment.

What are the key skills and qualifications needed to thrive as an executive operator, and why are they important?

To excel as an Executive Operator, you need strong leadership, business acumen, and operational management skills, often supported by a degree in business or a related field. Familiarity with enterprise resource planning (ERP) systems, data analytics tools, and project management software is typically required. Exceptional communication, strategic thinking, and decision-making abilities are vital soft skills for this role. These competencies are crucial to ensure efficient operations, drive business growth, and effectively coordinate teams and resources at an executive level.

Job description

About the Team

The Product and Design organizations at Klaviyo are responsible for defining, building, and scaling the products and experiences that power customer growth. Together, these teams sit at the center of company strategy, partnering closely with Engineering, Go-To-Market, Operations, and Executive Leadership to deliver innovation at scale.

The organization is made up of highly collaborative leaders operating across multiple locations, time zones, and priorities. Their work spans product strategy, customer engagement, organizational planning, executive communications, talent development, and company-wide initiatives.

As these teams continue to grow, operational excellence becomes increasingly important. The Executive Assistant / Business Partner team plays a critical role in enabling leaders to focus on their highest-impact work by ensuring their time, priorities, communications, and operations run seamlessly.

This is a highly visible role supporting multiple senior leaders across Product and Design. Success requires exceptional judgment, proactive problem-solving, strong business acumen, and the ability to navigate ambiguity with confidence and discretion.

The Role

We're looking for a Senior Executive Assistant / Business Partner to support multiple members across Klaviyo's Product and Design leadership teams.

In this role, you will serve as a trusted partner to executives operating in a fast-paced, high-growth environment. You'll manage complex schedules, drive operational coordination across teams, and anticipate needs before they arise. You will help leaders maximize their effectiveness by creating structure, solving problems, and ensuring critical priorities move forward.

The ideal candidate thrives in highly dynamic environments, enjoys solving complex logistical challenges, and has a reputation for making things happen regardless of obstacles. You bring a strong sense of ownership, exceptional attention to detail, and the ability to manage multiple competing priorities while maintaining a calm and professional presence.

What You'll Do

  • Manage highly complex calendars for multiple senior leaders, balancing strategic priorities, competing demands, and frequent changes.
  • Serve as a trusted thought partner to executives, helping prioritize time, identify conflicts, and ensure focus on the highest-impact activities.
  • Coordinate meetings and engagements across internal and external stakeholders, often involving senior leadership and cross-functional teams.
  • Plan and execute domestic and international travel, including detailed itineraries, contingency planning, and last-minute adjustments.
  • Drive logistics and operational planning for leadership meetings, team offsites, organizational reviews, and strategic planning sessions.
  • Partner closely with Product and Design teams to coordinate initiatives and improve organizational effectiveness.
  • Manage executive communications, meeting preparation, follow-up actions, and key deliverables.
  • Anticipate obstacles and proactively solve problems before they impact leaders or teams.
  • Handle confidential information with exceptional discretion, professionalism, and sound judgment.
  • Establish and improve processes that create efficiency, scalability, and clarity across the organization.
  • Track priorities, commitments, and action items to ensure follow-through and accountability.
  • Support special projects and strategic initiatives as business needs evolve.
  • Build strong relationships across the company and serve as a trusted resource for employees, leaders, and external partners.

Who You Are

  • 6+ years of Executive Assistant, Executive Business Partner, Chief of Staff, or similar experience supporting senior executives in fast-paced environments.
  • Significant experience supporting multiple executives simultaneously, ideally within fast-paced, high-growth environments, or other highly cross-functional organizations.
  • Demonstrated ability to manage exceptionally complex calendars with competing priorities and frequent change.
  • Proven track record operating successfully in high-growth technology companies.
  • Strong business judgment and the ability to understand organizational priorities and executive decision-making.
  • Exceptional organizational skills and attention to detail.
  • Outstanding written and verbal communication skills.
  • Ability to remain calm, adaptable, and solutions-oriented under pressure.
  • Strong stakeholder management skills and confidence interacting with leaders at all levels of an organization.
  • High degree of professionalism, discretion, and integrity when handling sensitive information.
  • Resourceful problem-solver with a reputation for finding solutions and getting things done.
  • Experience managing travel, events, executive meetings, and complex operational logistics.
  • Proficiency with Google Workspace, calendar management systems, collaboration tools, and modern productivity software.

Why This Role Matters

The Product and Design organizations are responsible for shaping Klaviyo's future. The leaders you support drive some of the company's most important strategic decisions, investments, and innovations.

In this role, you'll help create the conditions that allow those leaders and their teams to operate effectively at scale. You'll influence how time is spent, how priorities are managed, and how critical initiatives move forward across the organization.

By bringing operational excellence, sound judgment, and exceptional execution to every aspect of the role, you'll have a meaningful impact on both the success of the leadership team and the broader business.
