We are seeking a Executive Operations Manager to contribute to the performance of the Commercial team across the world by giving first level assistance, provides business planning to the Chief Commercial Officer and direct staff, facilitates the alignment of ASC and other key functions toward common key strategic priorities, and delivers on a number of initiatives designed to improve efficiency and quality of the team. This role works in groups and one on one with staff and executives on a variety of matters, therefore the candidate must be flexible in working hours and meet the demands of our organization.

HOW YOU WILL CONTRIBUTE TO THE TEAM

Business Performance 35%

  • Act as a "barometer", having a sense of the issues taking place in the environment and keeping the Chief Commercial Officer updated and providing solution focused recommendations.

  • Build and maintain strong, collaborative relationships with members in various departments and within Airbus, Satair, and VAS.

Use high level facilitation best practices and proven processes to develop and facilitate strategic interactive workshops that deliver the following results:

  • Facilitate workshops with the ASC leadership team and key functions (as required) to shape a unified vision and increase collaboration for contributions to the Material Services 2030 ambition.

  • Guide ASC leadership team in the selection and alignment of annual company objectives and key priorities that are pivotal to the 2030 ambition and align on next steps toward the successful implementation of these top priorities.

  • Utilize facilitation processes that support the ASC leadership team and key functions (as required) in identifying critical challenges and developing a unified, clear, and actionable plan to guide next steps.

  • Manage actions to ensure follow-through on all consolidated plans developed in workshops.

  • Oversee the management of ASC leadership team meeting agendas that ensure follow up on action items and key priorities agreed to during the workshops.

  • Support the ASC leadership team in breaking down annual top objectives into quarterly targets, aligning on key priorities and next steps to achieve them.

Manage Communications 30%

  • Provide interface between Chief Commercial Officer and senior customer management for escalation and meeting scheduling.

  • Maintain confidentiality and use a high degree of discretion while preparing presentations and communications for the Chief Commercial Officer.

  • Collaborate with the Chief Commercial Officer, leadership team, and ASCX to support completion of required activities and reporting requirements around the strategy and objectives.

  • Drive alignment across the Chief Commercial Officer's leadership team by tracking key deliverables and ensuring every milestone supports the broader transformation roadmap.

  • Govern a master schedule of upcoming milestones. Examples include but are not limited to: Yearly Business reviews, Quarterly Business reviews (QBS), ASC Leadership Team Meetings, Audits, People Tempo Activities, etc.

  • Collaborate with ASCM on Branding and Social Media deliverables and cascade the Top Company Objectives as outlined/modified by the Chief Commercial Officer.

  • Foster and maintain relationships across the organization to optimize stakeholder management and ensure open lines of communication and effective cross collaboration.

  • Manage ASC company related forms for both Airbus/Satair.
  • Govern internal and customer confidential communications, projects, activities and events arrangement including logistics.

  • Assume the role of primary point of contact between the CCO and internal and external customers.

3. Manage projects to support the Chief Commercial Officer to meet strategic objectives 30%

  • Oversee the Chief Commercial Officer's schedule / organization of meetings and minutes / letters, memorandums and documents.

  • Manage the coordination of high level meetings and all conferences and events.

  • Manage the coordination of strategy documentation and presentations.

  • Support and lead projects related to the Chief Commercial Officer's initiatives on an ad hoc basis.

  • Provide coordination support during MRO events.

  • Coordinate with the Chief Commercial Officer on visits of key stakeholders: meeting objectives, agendas, timing, etc.

Additional Responsibilities: 5%

  • Other duties as assigned from time to time which are consistent with the responsibilities outlined above.

ABOUT YOU

Equipped with a degree in Business or similar or equivalent experience, paired with 6+ years in progressive experience in C-Suite executive support and or project management. We are looking for a team player with the following experience, skills and mindset:

  • Bachelor's degree in Business Administration or Marketing or a combination of education and experience

  • 6+ years progressive experience in C-Suite executive support and or project management

  • High level strategic interactive workshop development and facilitation experience

  • PMP certification is preferred

  • Chief of Staff Certification is preferred

  • Ability to travel up to15% Domestic and International

  • Able to work in US without current or future need for visa sponsorship

  • Expert user of MS Office and G-Suite programs

Physical Requirements:

  • Onsite or remote: Remote 40%

  • Vision: able to see and read computer screens and other electronic equipment with screens, able to read documents, reports and engineering drawings. Daily

  • Hearing: able to participate in conversations in person and via teleconference or phone and to hear sounds on the production floor including safety warnings or alarms. Daily
