Job description

Description
The Staff Assistant provides direct administrative and operational support to the Vice President of the Advanced Cyber Initiatives (ACI) branch. This role is responsible for managing and prioritizing the VP's executive calendar, coordinating across cross-functional teams, and ensuring timely follow-up on key initiatives.
Key responsibilities include preparing executive briefing materials; collecting, organizing, and synthesizing program, budget, and project updates; and delivering high-quality operational support to enable effective decision-making and execution. The ideal candidate excels in a fast-paced environment and demonstrates strong organizational, communication, and problem-solving skills.
Required Skills
Strong executive calendar management and scheduling capabilities
Excellent organizational and prioritization skills with attention to detail
Ability to coordinate across multiple teams and stakeholders
Strong written and verbal communication skills, including executive-level correspondence
Proficiency in preparing briefing materials and presentations (e.g., PowerPoint)
Ability to track action items and ensure timely follow-ups
Strong analytical skills to collect and synthesize program, budget, and project data
High level of discretion in handling sensitive and confidential information
Proficiency in Microsoft 365 tools (Outlook, Excel, PowerPoint, Teams, SharePoint)
Qualifications
Bachelor's degree in Business Administration, Communications, or a related field (or equivalent experience)
5+ years of experience supporting senior executives or leadership teams
Experience in project coordination, program support, or administrative operations
Demonstrated ability to manage competing priorities in a fast-paced environment
Experience working in a corporate, government, or technology organization preferred
