Executive Assistant to Senior Leadership

Location: Boston, MA (Hybrid)


My client, a mission-driven professional organization in Boston, is seeking an experienced Executive Assistant to support a member of its executive leadership team. This is an excellent opportunity for someone who enjoys serving as a true business partner, thrives in a fast-paced environment, and takes pride in keeping executives and teams operating efficiently.


This role offers a collaborative culture, meaningful work, and the opportunity to support high-impact initiatives across multiple business functions. The ideal candidate is highly organized, resourceful, polished, and able to anticipate needs before they arise.


Responsibilities

  • Manage a complex executive calendar, balancing shifting priorities, internal meetings, and external commitments
  • Coordinate domestic and international travel arrangements, detailed itineraries, and related logistics
  • Prepare meeting agendas, presentation materials, reports, and follow-up action items
  • Serve as a trusted point of contact for internal leaders, external partners, and key stakeholders
  • Track projects, deadlines, and deliverables to help ensure organizational priorities remain on schedule
  • Coordinate executive meetings, leadership events, and special initiatives from planning through execution
  • Handle highly confidential information with professionalism and sound judgment
  • Assist with document management, correspondence, expense reporting, and other executive support functions
  • Provide occasional administrative support for broader leadership initiatives and cross-functional projects
  • Partner with internal departments to ensure seamless communication and workflow across the organization


Qualifications

  • Bachelor's degree required
  • 5-7+ years of Executive Assistant or senior administrative support experience
  • Experience supporting executive-level leadership in a fast-paced corporate or professional environment
  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously
  • Strong written and verbal communication skills
  • High level of discretion when handling confidential information
  • Advanced Microsoft Office skills; experience with expense reporting and calendar management systems preferred
  • Self-starter who takes initiative and enjoys solving problems independently
  • Professional, polished demeanor with outstanding interpersonal skills
