Our rapidly growing healthcare organization is seeking a highly skilled and experienced C-Suite Executive Assistant to provide comprehensive support to our executive leadership team. This role is critical in ensuring the smooth operation of our executive offices and facilitating effective communication and decision-making at the highest levels of our organization.
Job Overview
As the C-Suite Executive Assistant, you will be responsible for providing high-level administrative support to our C-level executives, including the CEO, CFO, and COO. This position requires exceptional organizational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment. The ideal candidate will have a strong background in medical billing, demonstrating efficiency and problem-solving skills in their approach to work.
Key Responsibilities
  • Manage complex calendars and schedule meetings for C-level executives, ensuring efficient use of their time and resolving conflicts as they arise
  • Coordinate and arrange travel plans, including flights, accommodations, and itineraries for executives
  • Prepare and edit correspondence, presentations, and reports for executive-level communication
  • Act as a liaison between executives and internal departments, external partners, and clients
  • Organize and maintain filing systems, both digital and physical, ensuring easy access to important documents
  • Handle confidential and sensitive information with the utmost discretion
  • Assist in the preparation of board meetings, including compiling materials, coordinating logistics, and taking minutes
  • Manage expense reports and process invoices for the executive team
  • Provide support in medical billing processes, including reviewing and analyzing billing data, identifying discrepancies, and recommending solutions
  • Assist in the development and implementation of office policies and procedures to improve efficiency
  • Coordinate and oversee special projects as assigned by the executive team
  • Serve as a point of contact for internal and external stakeholders, managing communication flow and prioritizing requests
  • Anticipate the needs of executives and proactively offer solutions to potential issues
Qualifications
  • Minimum of 2 years of office experience as an preferably as an executive assistant in a healthcare or medical setting
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Excellent verbal and written communication skills
  • Strong organizational and time management abilities
  • Ability to maintain confidentiality and exercise discretion
  • Exceptional problem-solving skills and attention to detail
