Job Description Summary

We are seeking a high-performing, polished, and detail-oriented Executive Assistant to provide direct support to our Head of Finance. This role requires someone who can operate with discretion and excellent judgment, manage sensitive information, and effectively represent the Head of Finance in interactions with senior executives, board members, and external partners. You will be based full-time in our Atlanta office, supporting a dynamic and fast-paced finance organization.

Job Description

Key Responsibilities

Executive & Office Support

  • Manage a complex and shifting calendar for the Head of Finance, including scheduling meetings, board sessions, and executive reviews.
  • Coordinate high-touch, multi-leg travel arrangements with efficiency and foresight, including changes and contingency plans.
  • Prepare confidential reports, board materials, and executive presentations with precision and timeliness.
  • Compose draft correspondence, internal communications, and presentations for review and distribution.
  • Monitor and track incoming requests and priorities, ensuring alignment with the executives objectives and schedule.
  • Anticipate needs and proactively take initiative to resolve administrative or operational challenges.

Financial & Operational Coordination

  • Submit and track expense reports, ensuring proper coding, documentation, and compliance with internal policies.
  • Demonstrate strong financial acumen when reviewing and preparing materials or handling financial documentation.
  • Support financial project tracking and forecasting by coordinating inputs from the executives direct reports or broader finance team.
  • Maintain internal tracking tools for deal or project budgets as needed.

Executive Representation & Communication

  • Serve as a trusted liaison between the Head of Finance and senior internal or external stakeholders, including the Board of Directors.
  • Represent the organization with professionalism, sound judgment, and discretion in all communications and interactions.
  • Handle confidential matters with exceptional integrity, maintaining the highest standards of privacy and trust.

Administrative Excellence

  • Maintain an organized filing system of physical and digital files, including contracts, financial documents, and board materials.
  • Assist with document preparation, signature collection, and archiving of sensitive financial materials.
  • Coordinate internal and external meetings, including preparation of agendas and follow-up items.

Qualifications

  • 5+ years of experience supporting C-level executives, preferably in a finance or corporate leadership environment.
  • Strong understanding of corporate travel logistics and expense management systems.
  • Exceptional attention to detail, organization, and time management skills.
  • Professional presence and ability to communicate effectively with senior leadership, board members, and external partners.
  • Discretion, confidentiality, and good discernment in all aspects of work.
  • Strong technical proficiency in Microsoft Office Suite, calendar management, and expense platforms (e.g., Workday, Concur).
  • Experience managing sensitive information and making sound decisions independently.
