Job description

Job Purpose: The Executive Assistant provides high-level administrative, project, and operational support to the Chief Executive Officer (CEO). This position serves as a trusted partner to the CEO, managing executive priorities, coordinating board activities, supporting physician recruitment efforts, and facilitating communication with physicians, leadership, board members, and external stakeholders. The role requires exceptional organizational skills, professionalism, discretion, and the ability to manage multiple priorities in a fast-paced healthcare environment.
JOB FUNCTIONS:
Essential Duties & Responsibilities
  • Manage the CEO's calendar, meetings, travel, and daily priorities.
  • Prepare correspondence, reports, presentations, agendas, and other executive materials.
  • Coordinate Board of Directors meetings, including agendas, board packets, meeting logistics, and follow-up actions.
  • Support physician recruitment activities, including interview scheduling, candidate travel arrangements, recruitment visits, and onboarding coordination.
  • Manage special projects and strategic initiatives on behalf of the CEO.
  • Track action items and ensure timely completion of assignments and executive deliverables.
  • Serve as a liaison between the CEO, physicians, leadership team members, board members, and external partners.
  • Coordinate executive meetings, leadership events, and organizational functions.
  • Manage logistics, catering, meeting materials, and attendee communications for meetings and functions.
  • Maintain highly confidential business, physician, personnel, and organizational information.
  • Assist with governance activities, executive communications, and administrative support for senior leadership initiatives.
  • Identify opportunities to improve processes, organization, and efficiency within the Executive Office.
  • Perform other duties and special projects as assigned.

Requirements
QUALIFICATIONS:
Education/Experience
  • Bachelor's degree preferred
  • Minimum of 5 years of Executive Assistant experience with C-level Executives required
  • Project Management experience preferred

OTHER REQUIREMENTS:
Work Environment: Work is performed primarily in a normal office environment with occasional travel to meetings, physician recruitment events, and organizational functions. Travel between Georgia Urology locations is expected.
