Who We're Looking For:

As a key member of the Executive Administration team, the Executive Assistant will provide direct executive support to the Chief People Officer and Chief Financial Officer. This role requires exceptional judgment, discretion, communication skills, and the ability to manage competing priorities in a fast-paced, global business environment.

The Executive Assistant will serve as a key partner to both executives, managing complex calendars, coordinating meetings and travel, preparing materials, supporting communications, and helping drive operational efficiency across the People and Finance leadership functions.

About the Role:

  • Manage complex calendars, including scheduling meetings across multiple time zones and prioritizing competing demands.
  • Prepare, edit, and format presentations, reports, agendas, correspondence, and other executive-level materials.
  • Serve as a point of contact between the executives and internal/external stakeholders, exercising professionalism and discretion.
  • Track action items, deadlines, and deliverables to ensure timely follow-up and execution.
  • Handle confidential and sensitive information with the highest level of integrity.
  • Support budget tracking, invoice processing, purchase orders, and expense reconciliation as needed.

Minimum Qualifications:

  • 10+ years of experience supporting senior executives, preferably C-suite leaders.
  • Exceptional calendar management, prioritization, and organizational skills.
  • Ability to anticipate needs, solve problems independently, and operate with minimal direction.
  • Ability to manage confidential employee, financial, and business information appropriately.

Preferred Qualifications:

  • Experience supporting multiple executives simultaneously is strongly preferred.
  • Prior experience in a global, publicly traded, private equity-backed, healthcare, medical device, life sciences, or manufacturing environment is a plus.
  • High degree of professionalism, discretion, and emotional intelligence.
  • Ability to anticipate needs, solve problems independently, and operate with minimal direction.
  • Experience with expense management, travel booking, procurement, HR, or finance systems is helpful.
