Position Summary:
Reef is seeking an Executive Assistant to support the President and Chief Operating Officer, with additional support to other C-Suite executives as needed. This role is central to keeping senior leadership organized, informed, and focused on priorities across the firm. The ideal candidate is highly organized, discreet with confidential information, and comfortable operating across a fast-moving, multi-strategy investment firm. Strong command of Excel and PowerPoint is required, along with a willingness to use Claude and other AI tools to work more efficiently.
Responsibilities:
  • Manage complex calendars for the President and COO, prioritizing and resolving scheduling conflicts across internal meetings, investor calls, and travel.
  • Coordinate travel arrangements, including itineraries, accommodations, and logistics.
  • Prepare, format, and proofread presentations, board materials, and internal memos in PowerPoint and Word.
  • Build and maintain spreadsheets and trackers in Excel, including light data entry, formatting, and basic formula work.
  • Draft and manage correspondence, including emails and meeting agendas, on behalf of the Executives supported.
  • Organize and prepare materials for meetings, including agendas, briefing documents, and follow-up action items.
  • Serve as a liaison between executives, internal teams, and external partners, exercising sound judgment and discretion.
  • Process expense reports and assist with basic budget tracking as directed.
  • Use Claude and other approved AI tools to draft communications, summarize documents, and streamline recurring administrative tasks.
  • Provide backup support to other Executives during periods of high volume or absence.
  • Handle confidential and sensitive information, including deal and personnel matters, with sound judgment and discretion.
  • Take on ad hoc projects and administrative initiatives as assigned.
Qualifications:
  • 3+ years of experience as an Executive Assistant or in a similar support role, ideally supporting C-suite or senior leadership.
  • Bachelor's degree preferred, or equivalent professional experience.
  • Advanced proficiency in Microsoft Excel and PowerPoint; comfort with Word and Outlook.
  • Prior exposure to using Claude or similar AI assistant tools; interest in adopting new technology to improve workflows.
  • Excellent written and verbal communication skills.
  • Strong organizational skills and attention to detail, with the ability to manage multiple priorities under deadline.
  • Sound judgment and demonstrated ability to handle confidential information with discretion.
  • Experience in investment management, real estate, or a related professional services environment is a plus.
