Job description

Atrium is seeking on behalf of our client an Executive Assistant based in West Palm Beach.

Position: Executive Assistant

Location: West Palm Beach

Employment Type: Full-time

Compensation: $80,000 to $90,000

Position Overview

The Executive Assistant plays a vital role in supporting senior leadership and ensuring seamless daily operations. This role involves managing schedules, coordinating meetings, and handling confidential communications. The Executive Assistant will also prepare reports, organize travel arrangements, and maintain efficient office workflows while collaborating with various departments to drive company objectives forward. Must be legally authorized to work in the United States.

Responsibilities

Manage and maintain executives schedules, including board meetings and fundraising events

Coordinate and direct office services to support executive operations

Book corporate travel for executives and ensure timely arrangements

Plan and execute special events, including luncheons, auctions, and engagement functions

Support strategic initiatives and assist with project management tasks

Prepare correspondence, reports, and presentations for board and fundraising purposes

Liaise with board members, donors, and stakeholders to ensure effective communication

Conduct research and compile data for executive and board review

Maintain discretion and confidentiality in all matters

Prepare agendas and arrange logistics for meetings

Required Experience/Skills

Minimum 4 years experience in executive support

Strong organizational and project management abilities

Excellent written and verbal communication skills

Proven ability to handle confidential information with discretion

Proficiency in Microsoft Office Suite and event planning software

Ability to coordinate multiple projects and meet deadlines

Preferred Experience/Skills

Experience supporting executive teams

Prior involvement in event planning

Experience supporting strategic initiatives or chief of staff functions

Ability to build effective relationships with stakeholders

Familiarity with donor relations or fundraising activities

Education Requirements

Bachelors degree or higher preferred
