Job Description:
The Events Associate will support the planning, coordination, and execution of a variety of meetings, programs, and special events. This role will serve as a key point of contact for a newly established event space, ensuring a seamless experience for internal teams, external partners, and guests.
The ideal candidate will have experience managing events from start to finish, strong organizational skills, and the ability to coordinate multiple priorities while providing a high level of hospitality and customer service.
Key Responsibilities:
  • Coordinate and execute meetings, conferences, community events, and special programs from initial planning through completion.
  • Serve as the onsite event lead, managing logistics, troubleshooting issues, and ensuring events run smoothly.
  • Partner with internal teams, vendors, caterers, and building representatives to coordinate event details and requirements.
  • Manage event logistics including room setup, catering, audiovisual needs, registration, guest coordination, signage, and materials.
  • Maintain event timelines, planning documents, and project details to ensure successful execution.
  • Prepare meeting and event spaces by testing technology, setting up equipment, and ensuring all materials are ready before events begin.
  • Provide onsite support during meetings, including assisting with basic technology troubleshooting and audiovisual needs.
  • Build strong relationships with internal stakeholders, leadership, community partners, and event attendees.
  • Support additional meetings and events across multiple conference spaces as needed.
  • Assist with community engagement activities, networking events, and programs designed to enhance the guest experience.
  • Identify opportunities to improve event processes and create a welcoming environment for visitors and participants.

Qualifications:
  • 3+ years of experience supporting event planning, special events, conference services, hospitality, or meeting coordination.
  • Experience managing events through the full lifecycle, including planning, setup, execution, and breakdown.
  • Strong organizational skills with the ability to manage multiple events and competing priorities.
  • Excellent attention to detail and ability to anticipate event needs before issues arise.
  • Strong communication and relationship-building skills with the ability to work with individuals at all levels.
  • Comfortable working independently while collaborating closely with a small team.
  • Ability to troubleshoot basic technology issues during meetings and events.
  • Proficiency with Microsoft Office Suite, including Word, Outlook, PowerPoint, Excel, and Teams.
