On-Site Location: Scottsdale, AZ
Workplace Setting: Fully Onsite.
POSITION SUMMARY
The Event Coordinator will provide administrative support to our Events team as they manage a high volume of events and workshops throughout the year. This individual will be highly organized and attentive to detail, with a willingness to improve processes to make them more efficient as needed. This individual will also meet with the Client Concierge team to ensure alignment with event attendance and payment status. An individual with a passion for events and improving processes will be the ideal candidate for this role.

SUCCESS LOOKS LIKE
  • Event setups (e.g., banners, signage, and step-and-repeats) are completed promptly and according to the plan, ensuring the venue is prepared before attendees arrive.
  • Handling small issues or last-minute changes during event setup or execution without disrupting the event's flow.
  • Taking ownership of assigned event day taskstask, ensuring that all attendees are welcomed efficiently and have a smooth onboarding experience.

OBJECTIVES
  • Event set up Support (assembling step & repeats & popup banners and placing them strategically throughout venue, meals/happy hours)
  • Assist with team packet creation: creating packets for events for FL & AZ, assigning team duties, putting F&B details, location, time, etc on tracker
  • Assist with moving staff team travel receipts to the Google Drive and follow up regarding bookings
  • Provide coverage for team duties as needed
  • Support the CEO & President of Cardone Ventures with personal items as needed
  • Order Executive food and beverages as needed
  • Manage all event supplies and collateral responsible for doing weekly event inventories and monthly event inventories
  • Lead for Registration/ check in process to ensure it runs smoothly on Event day

COMPETENCIES
  • Ability to navigate a high volume email inbox regarding logistics
  • Ability to take detailed notes and determine action items to follow up on
  • Possess technical acumen to accurately update Events website
  • Can successfully manage Event collateral and keep track of all equipment needed for setup
  • Ability to navigate spreadsheets effectively with client information and other key data points
  • Possess strong follow up skills to ensure action items from Event meetings are completed
  • Ability to set up and run our 10X event app registration equipment
  • Can successfully train new hires to run the 10X event app equipment

EDUCATION AND EXPERIENCE
  • At least 2 years' Event Management experience
  • Degree in Hospitality Management, Public Relations or relevant field is preferred
  • Substantial experience with G-Suite (Slides and Docs)

PHYSICAL REQUIREMENTS
  • Prolonged periods sitting at a desk and working on a computer
  • Weekend availability - up to 90%

  • Ability to stand for long periods and manage physical setup activities during events.
  • Must be on-site at our Scottsdale, AZ office; this is not a remote role
