Event Coordinator | Full-Time, Hybrid

Position Summary

Shared Medical Services is seeking an organized and detail-oriented Event Coordinator to support the planning and execution of internal and external company events. This role is responsible for coordinating event logistics, vendor relationships, travel arrangements, registrations, materials management, and on-site event support to ensure successful and professional event experiences.

Responsibilities

  • Coordinate conferences, trade shows, meetings, employee events, and other company-sponsored functions.
  • Manage event logistics, including venues, vendors, catering, travel, shipping, registration, and event materials.
  • Maintain event timelines, calendars, attendee lists, and planning documents.
  • Collaborate with internal teams and external partners to ensure event success.
  • Track event expenses, invoices, and budgets.
  • Manage event supplies, booth assets, signage, and promotional materials.
  • Provide on-site event support, including setup, troubleshooting, and breakdown.
  • Prepare post-event reports and feedback summaries.
  • Travel as needed to support local and out-of-town events.

Qualifications

  • Associate degree in Business Administration, Communications, Event Management, or related field; or equivalent administrative experience.
  • 24 years of experience in event coordination, marketing support, administrative support, or a related role.
  • Experience supporting conferences, trade shows, meetings, or corporate events.
  • Strong organizational, communication, and project management skills.
  • Proficiency with Microsoft Office (Outlook, Word, Excel, and PowerPoint).
  • Experience coordinating vendors, travel, registrations, and event logistics.
  • Ability to manage multiple priorities and adapt in a fast-paced environment.
  • Valid driver's license with a good driving record.
  • Ability to work occasional evenings and weekends as needed.
