Meeting & Events Manager - Corporate Events

POSITION SUMMARY
The Meeting & Events Manager is primarily responsible for the detailing and execution of group and corporate catering business once contracts are finalized. The position works closely as the liaison between the sales team and Operations to ensure that essential details and information are conveyed from the client to our internal teams. This position is present for events and serves as the primary point of contact for our clients while they are onsite. This position drives food, beverage and miscellaneous sales to planned financial objectives. As a manager on the team this individual is viewed as a model and mentor to coordinators on the Meeting & Events team and serves as a right-hand asset to the Team Manager.
RESPONSIBILITIES
  • Provide a timely, complete, and accurate planning experience for all clients.
  • Work with the client and/or our internal Design Team to arrange floral, linens, event rentals, tenting, and customized items to enhance the guest experience.
  • Drive revenues via vendor arrangements with our service markup and upselling elevated banquet menus and beverages.
  • Coordinate all aspects of group experience , Food and beverage requirements, timing of events, audio-visual requirements, special attention items, rooming list, amenities, function room set-up, group transportation, satellite check-in, check-out procedures, special meal requests, arrival/departure manifests, bag pulls, luggage storage, complimentary and VIP rooms, billing instructions, authorized signers, room deliveries, telephone and internet requirements, box storage and delivery, power requirements, key requirements, food and beverage outlet usage, hospitality/office/registration desk requirements, business center needs, securing group minimums are met, creation of estimates, entertainment, leisure activities, décor, and floral needs.
  • Ensure that conference specifications are communicated clearly and correctly to provide a successful meeting experience for both the planner and event attendees
  • Follow department and hotel standard operation procedures (SOP's) to protect policy and protocol.
  • Prepare accurate and detailed Banquet Event Orders (BEO's) and Group Resumes showcasing the full scope of group details 10-14 days in advance.
  • Communicate program revisions to relevant departments in a timely manner.
  • Act as the primary point of contact for your clients while they are onsite to ensure smooth experiences for both the client and our internal teams.
  • Conduct pre- and post-conference meetings as accepted by the client.
  • Participate in all regular and requested meetings in person and via Teams.
  • Lead by example as a mentor to our Meeting and Events Coordinators.
  • Partner with the Group Sales Team on site visits to impact the sales conversion rate.
  • Share best practices team wide for consistently high meeting planning survey scores.
  • Handle special projects for the hotel or the department as assigned.
  • Promote open communication with operating departments and via regular touch base meetings.
  • Foster win-win working relationships with new and preferred vendors.
  • Manage training and onboarding of new associates.
  • Manage group assignments in the absence of the Team Manager- Meetings and Events.

Skills/Requirements
  • Minimum of three years of Hospitality/Event planning experience with demonstrated execution of events. Bachelor's degree in hospitality management or related field preferred.
  • Flexible work hours are required and include weekends and holidays as needed to meet the demands of our dynamic 24-hour, 7 day a week business.
  • Excellent communication skills: verbal, written, and non-verbal.
  • Excels in a fast-paced work environment
  • Skilled in Word, Excel, PowerPoint, Outlook, Teams. Resort Suite, Amadeus and Social Tables.
  • Effective management, leadership, and organizational skills.
  • Hotel or relative experience is required.
