The Event Production Coordinator plays a key role in delivering high-quality live event experiences. This position is essential in organizing and preparing university venues for a variety of events, such as performances, meetings, conferences, and special functions. This role collaborates closely with other university departments to ensure all activities align with the institution's mission and objectives. Key responsibilities include actively running sound, lighting, and video projection consoles, but also managing event logistics, cultivating vendor relationships, and overseeing all phases of event execution, from initial planning to post-event review. Strong communication with stakeholders-including faculty, staff, students, and external guests-is crucial for delivering outstanding event experiences. Additionally, this role designs, sets up, and operates staging, lighting, and audio/visual elements while also handling room layouts and inventory for event resources. This position requires excellent organizational skills and the ability to juggle multiple projects independently.
Essential Functions
  • Manage and assist with the set-up, tear-down, operation, maintenance, storage and inventory control of sound, lighting, staging, truss, special effects equipment, tents, tables and chairs and other event-related equipment.
  • Actively run audio, lighting, and video projection consoles installed at multiple locations on campus.
  • Operate, design, & fabricate audio, lighting, staging, and visual set-ups.
  • Maintain event resources such as room layouts and stage plots.
  • Direct large-scale events and multiple priorities as well as follow directions and procedures.
  • Effectively schedule and supervise workers including student and volunteer staff, performing on-site work (A/V, lighting, etc.) in support of events.
  • Assist in purchasing sound, lighting, and other equipment for various buildings and locations on campus.
  • Expected to actively participate in ongoing professional development through a combination of hands-on training, online resources (such as instructional videos), and off campus learning opportunities to continuously build technical and event production expertise.
  • Collaborate and consult with providing support in the planning of events from initial conception through execution and post-event evaluation.
  • Provide insight into optimal designs, layouts, and aesthetics for events.
  • Facilitate and coordinate the use of outside vendors for event related purposes and ensures vendor compliance with university policy and procedure.
  • Transport and tow Event Production equipment with university golf carts in a safe and professional matter.
  • With the direction of the Assistant Director of Event Production, implement new procedures to help optimize and streamline event planning processes and policies.

Qualifications
Required:
  • Minimum of 2 years' experience in production teams, stage management, or special event set-up and operations.
  • Familiarity and knowledge of event technology, including sound/lighting, live streaming, and event registration platforms.
  • Able to work various shifts, including nights, weekends, and holidays as required.
  • Ability to communicate and share expectations with various stakeholders, including students, staff, faculty, and guests of the university.
  • Ability to be capable, confident, and creative with tasks given.
  • Demonstrate strong organizational skills, attention to detail, and the ability to effectively coordinate multiple priorities and complex projects concurrently.
  • Ability to work with minimal supervision and exercise good judgment in decisions.
  • Must be flexible and able to handle and work with interruptions.
  • Adept experience in lighting and sound systems, staging and scenery.
  • Proficient in using standard office software, such as Word, Excel, and Outlook
  • Customer service orientation and the ability to communicate effectively and in a warm, professional manner
  • Attendance and punctuality.
  • Strong communication and interpersonal skills.
  • Ability to travel as necessary for out-of-town appointments, meetings, and conferences
  • Valid California driver's license

Environmental Conditions:
  • Exposure to excessive noise, dust, fumes, vibrations, and temperature changes including hot, cold, and wet conditions at least fifty percent (50%) of the time.

Physical Demands:
