Job description

At The Brisben Center, proper records management is essential to our operations and the privacy of the people we serve. Our file room holds highly sensitive client information, visitor sign-in sheets, bedlists, and client sign-in sheets. We are seeking a highly organized, meticulous volunteer to execute a complete overhaul of our physical filing system, perform an annual document purge, and ensure our archival standards are on par.

Key Responsibilities

  • Organize: Organize all files chronologically by the most recent year listed on the paperwork.
  • Alphabetize: Sort files within each year alphabetically by the client's first name.
  • Confidential Relabeling: Update file tabs using our strict 12-character ID formula to ensure consistency.
  • Retention Enforcement: Enforce our strict 7-year document retention rule by verifying that all files from 2019 and newer are kept safely stored.
  • Purge Preparation: Pull all files from 2018 and prior for destruction.
  • Hardware Removal: Remove all papers from their manila folders, pull apart large quantities of staples, and remove all binder clips and paperclips to prevent machine jams.
  • Secure Staging & Shredding: Securely stage bulk purge batches in designated plastic bins.
  • En-Masse Destruction: Execute large-scale shredding during evening or weekend hours to accommodate machine noise restrictions.
