Job Summary
We are seeking a detail-oriented and motivated equity compensation professional to join our Equity Administration team. This role supports the administration of our global equity programs and provides responsive, participant-focused assistance to employees at all levels. The ideal candidate has solid knowledge of equity plans and strong analytical skills, with a commitment to accuracy, confidentiality, and excellent service.
Key responsibilities include processing equity transactions, responding to participant inquiries, preparing reports, and assisting with equity events and compliance activities. This position offers exposure to complex equity programs and opportunities to grow into a more advisory role.
Hybrid - in Northfield, IL office 2-3 days per week.
Job Description
Major Responsibilities
  • Equity Administration Support: Assist with day-to-day administration of equity programs, including RSUs, stock options, and other awards.
  • Participant Assistance: Respond to inquiries regarding plan features, vesting schedules, and transaction processes in a clear and professional manner.
  • Transaction Processing: Coordinate routine equity transactions (e.g., share releases, legend removals, tax withholding) in partnership with vendors and Payroll.
  • Reporting: Prepare standard and ad hoc reports on equity holdings, transactions, and vesting activity.
  • Compliance & Documentation: Maintain accurate records and ensure adherence to regulatory and company requirements.
  • Vendor Coordination: Support interactions with equity administration platforms (Fidelity and Carta preferred).
  • Process Improvement: Identify opportunities to streamline workflows and enhance participant experience.

Job Requirements
Work Experience:
  • 3-5 years of experience in equity administration or related HR/finance role.

Knowledge / Skills / Abilities
  • Working knowledge of equity compensation plans and related regulations.
  • Strong analytical and problem-solving skills with attention to detail.
  • Excellent communication and interpersonal skills.
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.
  • High level of discretion in handling confidential information.
  • Experience with equity administration platforms (Fidelity preferred).
  • Familiarity with HRIS systems (Workday preferred).
  • Proficiency in Microsoft Office Suite; comfort with learning new technology.

The anticipated salary range for this position:
$92,000.00 - $138,000.00 Annual
The actual salary will vary based on applicant's location, education, experience, skills, and abilities. This role is bonus and/or incentive eligible. Medline will not pay less than the applicable minimum wage or salary threshold.
Our benefit package includes health insurance, life and disability, 401(k) contributions, paid time off, etc., for employees working 30 or more hours per week on average. For roles where employees work less than 30 hours per week, benefits include 401(k) contributions, paid time off, as well as access to the Employee Assistance Program, Employee Resource Groups and the Employee Service Corp.
