JOB TITLE: Receptionist/Order Entry Specialist REPORTS TO: Title Manager

DEPARTMENT: Administration

JOB SUMMARY

Our receptionist is responsible for making a positive first impression on walk-in visitors and callers, as well as directing visitors and routing callers to correct destinations. S/He handles inquiries and provides information about the organization. Our receptionist also provides general administrative and clerical support.

The Order Entry Specialist serves as the first point of contact in the title production process by accurately entering and establishing new title and escrow orders. This position is responsible for reviewing incoming requests, verifying transaction information, creating files within ResWare, and ensuring all necessary documentation is obtained to facilitate a smooth and timely closing process. The ideal candidate is detail-oriented, customer-focused, and capable of managing a high volume of orders while maintaining accuracy and efficiency.

PRIMARY DUTIES & ESSENTIAL JOB RESPONSIBILITIES

  • Responds quickly to a multi-line telephone system; may need to answer and route calls.
  • Greets customers, vendors, and other visitors in a courteous, friendly, and timely manner
  • Provides entry level administrative support including but not limited to typing, filing, printing, copying, and coordinating calendars
  • Sorts and routes mail, correspondence, packages, and messages for timely delivery to appropriate parties
  • Maintains reception area(s), kitchen area, and conference room(s); keeps areas tidy
  • Accurately enter order information into ResWare.
  • Monitor incoming order queues and ensure timely processing to meet service level expectations.
  • Review contracts, purchase agreements, lender requests, and supporting documentation for completeness.
  • Performs other duties as assigned by supervisor
  • Adheres to company policies and guidelines
