Description

Mercy Home for Children is recruiting for a Full Time Electronic Records Associate to work in an OPWDD setting.  This position reports directly to the Chief Compliance Officer. This key player will populate and maintain Mercy Home's Electronic Record Systems, as per OPWDD regulations. Work closely with the Electronic Health Records (EHR) liaison to learn new modules, and implement the same at Mercy Home.  Work closely with program management, clinical staff, day program habilitation staff, and all entry-level staff to provide technical assistance and assure quality programming. The Electronic Records Associate will spend 75% of his/her time coordinating the day to day operations of the EHR (Therap) system and assist with the transitioning of the new system - Precision Care.  Provide on-site training to users, provide support in person, via computer, and over the phone. The Electronics Records Associate will spend 25% of his/her time providing clerical support to the training and compliance department, presenting at the IRC (Incident Review Committee) and IRMA compliance.  Represent the Quality Improvement Department and Agency by promoting and modeling the mission and core values of the Sisters of Mercy and Mercy Home.


Essential Functions:


Participate in EHR training sessions, working closely with the EHR liaison & keeps up to date in OPWDD regulations & learns new modules; and applies the knowledge at Mercy Home.

Ensure Mercy Home is in compliance pertaining to OPWDD regulations & trainings, and implements support to the various programs that use EHR.

Establish a schedule for ongoing technical assistance to the various departments that use EHR. This involves visiting the multiple sites and training in Mercy Home's computer lab. 

Establish passwords and usernames for staff when hired.

Manage access to the EHR by providing user name and passwords to new employees and disabling accounts for individuals who no longer need access to the system. 

Ensures that Database is current by adding and removing service recipients as needed.

Work closely with program and billing departments to ensure that all components are in place for accurate, compliant, expedited billing.

In conjunction with the IT coordinator, ensure the availability of the hardware needed to collect data in compliance with our policies & OPWDD regulations.

Conduct periodic analysis of the database to ensure that it is accurate up to date. 

In conjunction with Program Administration, periodically evaluate the user privilege of staff, and reassign as appropriate.

Ensure that Mercy Home's EHR practices are in line with the written EHR policies & procedures. 

Assist in the management of Mercy Home's incidents in IRMA.

Provide clerical support to the Training and Compliance Departments as requested. 

Monitor the GEO Tracking system, providing periodic reports as requested.

Ability to communicate and interact effectively with everyone, including those with an intellectual disability the dual diagnosed, co-workers, and the general public.


Requirements

BA/BS Degree preferred. 

Valid New York State Driver's License preferred

Minimum: 1-2 years' experience with OPWDD services required, hospital coverage will not count.

Experience with electronic health records (Therap or Precision Care systems) is required
