Position Overview and Key Responsibilities:
Patient Care Representative (PCR) plays a key role in supporting patients through the mobility equipment process - from initial intake to approval of equipment. The PCR ensures timely communication, coordination, and documentation to help patients receive their medical equipment efficiently and with excellent service. Success in this role is measured by timely follow-ups, accurate documentation, and strong communication that enhances patient satisfaction and process efficiency.
Responsibilities:
Intake Management
  • Contact all new patients within 24 hours of referral to complete the Intake Questionnaire and initiate the process for obtaining mobility equipment.
  • Establish themselves as the main point of contact.
  • Verify insurance coverage; if unable to complete verification, contact Business Support or submit the claim for business support to verify.
  • Explain the process and get the patient to commit to the process.
  • Ensure intake is completed within 5 business days
    • If the patient is unreachable after 5 days, escalate to the Manager or Sales Representative for potential order cancellation.
    • If ongoing contact attempts ("phone tag") occur, document each attempt rather than canceling the order.

Scheduling Coordination
  • Coordinate and schedule all necessary patient evaluations, including:
    • Face-to-Face (F2F) physician evaluation
    • Physical or Occupational Therapy (PT/OT) evaluation
    • Assistive Technology Professional (ATP) evaluation (for complex orders)
  • Schedule each step within 3 business days to keep the process moving efficiently.
  • Ensure scheduling process is completed with 20 days.
    • If scheduling exceeds 20 working days, PCRs must involve a manager for next steps.
  • Collaborate with Sales Representatives and ATPs to resolve scheduling delays and ensure continuity of patient care.

Documentation and Paperwork Support
  • Support Sales Representatives by assisting with documentation as needed, including attaching, faxing, or assisting sales team with paperwork process.
  • Following up with physician offices to ensure all forms are completed and received (role to be agreed upon with Sales Rep and Sales Manager)
  • Ensuring final documentation is faxed to doctor timely.

Ongoing Patient Communication
  • Maintain consistent communication with patients throughout the process to ensure they are informed of their status and next steps.
  • Provide updates to patients at least every 5 business days, or more frequently if significant changes occur.

Requirements:
  • Bachelor's degree required
  • Minimum 2 - years of administrative support experience
  • Intermediate computer skills
  • Exceptional interpersonal skills with ability to develop relationships
  • Ability to maintain confidentiality
  • Excellent verbal and written communication skills
  • Ability to work independently, be detail oriented, and organized
