Document Control Specialist

AG amp;E Associates is expanding, and we are seeking a driven Document Control Specialist to join our team in Dallas, TX.
This role is an opportunity to contribute to essential project operations in a dynamic environment while growing your career within a leading engineering firm.

What You Will Do
  • Prepare and distribute client and customer submittals in accordance with project and customer requirements
  • Prioritize submittals and ensure same-day completion and distribution
  • Generate transmittals and manage document distribution to clients, internal teams, and subcontractors
  • Review, log, and track returned submittals; notify Project Managers of updates or discrepancies
  • Organize, maintain, and update contract and project documents in systems such as Bluebeam
  • Ensure all files are accurately stored, version-controlled, and accessible within one business day
  • Maintain RFIs and project documentation with consistent naming and organization standards
  • Keep complete, accurate, and audit-ready project records at all times
  • Manage project distribution lists and communicate document requirements
  • Support Project Managers with file retrieval and coordination for missing information
  • Provide backup support to the front desk receptionist by covering scheduled breaks and ensuring continuous front desk operations as needed.

What You Bring
  • Strong organizational and document management skills required, with the ability to manage multiple deadlines in a fast-paced environment
  • Proficiency with document control tools required (e.g., Bluebeam, transmittal software, ShareFile/FTP systems)
  • Strong written and verbal communication skills required
  • Ability to collaborate effectively with Project Managers and cross-functional teams required
  • Experience in document control, project coordination, or construction/engineering environments preferred
  • Familiarity with client-specific submission standards preferred
  • Ability to sit and work at a computer for extended periods required
