Elite Receptionist Position

The receptionist serves as the primary face and voice of the Elite family of companies, delivering a premier first impression that aligns with our core values of high-quality service and reliability. This critical role manages a high-volume, multi-line phone system and welcomes visitors, seamlessly directing inquiries across our real estate, construction, and investment divisions as well as our corporate office. By providing fluent, professional communication in both English and Spanish, the receptionist ensures that all clients, tenants, vendors, and community members experience immediate, efficient, and proactive support.

Front Office Operations & Communications
  • Manage the central multi-line phone system, answering incoming calls promptly, determining caller needs, and efficiently routing them to the correct division.
  • Greet and welcome all walk-in clients, tenants, contractors, and investors with a professional and helpful demeanor.
  • Translate verbal and written communications in real-time between English and Spanish to assist non-English speaking clients and tenants.
  • Maintain a clean, organized, and professional reception area, conference rooms, and shared corporate spaces.
  • Receive, sort, and distribute daily mail, incoming packages, and courier deliveries for all Elite divisions.
Cross-Divisional Support
  • Elite Property Management: Assist tenants with basic account inquiries, accept rent drop-offs, and route urgent maintenance requests to the property management team.
  • Elite Property Renovations & Investment Innovations: Document intake details from prospective home sellers or investors and forward lead sheets to the acquisitions team.
  • Elite Construction & Development Group: Direct sub-contractors, vendors, and municipal inspectors to the appropriate project managers or estimators.
  • Corporate Office: Support and assist the corporate leadership team with internal administrative tasks as needed.
Administrative & Data Integrity
  • Input initial client or prospect data accurately into cross-company databases, ensuring contact details and notes are current.
  • Coordinate the scheduling of corporate conference rooms for multi-division meetings and executive presentations.
  • Assist administrative staff with light bookkeeping, scanning, filing, and creating correspondence as needed during peak operational times.
Required Skills & Qualifications
  • Language: Native or near-native fluency in English and Spanish (written and spoken) is strictly required.
  • Education: High School Diploma or equivalent required.
  • Experience: Minimum of 2 years of experience as a receptionist, front desk agent, or in a high-volume customer service role.
  • Technical Aptitude: Proficient with multi-line phone systems and Google Workspace (Gmail, Drive, Calendar, Meet, etc.).
  • Communication: Exceptional interpersonal skills with a proven track record of handling diverse clientele with empathy, professionalism, and clarity.
  • Organization: Strong multitasking capabilities and the ability to remain calm and composed in a fast-paced environment supporting multiple customers.
Preferred Qualifications
  • Prior experience working within a property management, real estate, or construction office setting.
  • Familiarity with CRM software or property management platforms (e.g., AppFolio, Buildium).
