Job description


The Coordinator Imaging is responsible for the document imaging and/or scanning of all timeshare sales transactions, including trailing documents, upgrade documents and cancellation notices.
This associate will be responsible for the document imaging/scanning of all timeshare sales transactions within the acceptable time frame of 24 to 48 hours, ensuring that the scanned documents meet company standards, and that they are classified in the proper manner.

Position Summary:
  • Scan Daily Sales, Samplers, Cancellation Notices and Unclosed Cancels within a 24 to 72-hour timeframe. This amounts to a minimum of 75 files per day.
  • Scan Trailing Documents, Scan/Shred and Payoff Docs within a 24 to 48-hour timeframe.
  • Generate Labels for the files.
  • Create new loan file folders and assist with general clerical support.
  • Verify scanned documents and electronic documents for filing in the Synergy system. System does not automatically know where to put all the documents and a person must manually go into verifier and input the category it must go under in Synergy.
  • Ensuring all sales docs are available for weekly or monthly funding.
  • Maintain familiarity with and be able to distinguish between various sales packets, as well as more than 5 document types, including: Samplers, Scan and shred, Unclosed Cancels, Trailing docs.
  • Verifying documents in Image now and making corrections accordingly before releasing from ImageNow system.
  • Conduct quality assurance for documents that are being scanned, ensuring proper format and proper categorization.
  • Maintaining scanner as needed, cleaning and dusting off for better performance.
  • Entering service tickets for any scanner issues.
  • Picking up all sales from Funding and Post Close
  • Moving carts with files from one area to another.
  • Maintain Inventory of documents being received and delivered to Funding.

  • Completes all required Company training/compliance courses as assigned.
  • Adheres to Company standards and maintains compliance with all policies and procedures.
  • Performs other related duties as assigned.

Qualifications
Required Qualifications:
  • Data entry experience is required.
  • Exhibit proficiency in MSOffice programs
  • Must be detail-oriented and have strong organizational skills
  • Have the knowledge involved in creating new loan files folders and assisting with general clerical support

In addition, the following qualifications, knowledge, skills, abilities, and experience are preferred:
• Basic knowledge of Image Now System
• Basic knowledge of AS400,
• Basic knowledge Synergy system
• Knowledge of mortgage loan documentation processes is helpful.
