Job description

Job Summary

Generally responsible for document management for specific projects and is the key resource for the management of documentation and records at the site. This work will be performed under general supervision.

Key Responsibilities

1.ย ย  ย Assists with the document preparation for scanning (i.e., removes all staples, paper clips).
2.ย ย  ย Handles document retrieval requests, and assists in document reproduction .
3.ย ย  ย Maintains the master project/drawing / specification files as the repository of design /construction documents.
4.ย ย  ย Maintains transmittal logs and records and ensures compliance.
5.ย ย  ย Organize, prepare and box in-active records for archives, storage, retention and/or destruction.
6.ย ย  ย Responsible for maintenance of the project electronic and physical library records.
7.ย ย  ย Serves as main contact for file maintenance, quality control and retrieval of physical files within the central library.
8.ย ย  ย Supports and maintain the operation of the Electronic Management & Physical File Structure Systems.

Minimum Job Requirements

1.ย ย  ย 3-5 years of previous support experience required. Experience with Contract Manager or other contract management tool is preferred.
2.ย ย  ย Familiarization with Prolog, ERP systems and other related project management software preferred.
3.ย ย  ย Must be detailed oriented, have excellent organizational skills and have the ability to multi-task.
4.ย ย  ย Proficiency with Microsoft Office Package; strong understanding of Word, Excel, and Outlook.
5.ย ย  ย Requires a high school diploma, Associate's Degree preferred (or equivalent working knowledge/experience).
6.ย ย  ย Strong interpersonal and communication skills, both written and verbal, and a professional demeanor are required.

7. InEight experience preferred.
