The Production Operations Clerk performs a variety of administrative and operational support tasks within the Production Planning department. This role is cross-functional and may be assigned to one or more focus areas, including order processing, document control, logistics/shipping, customer service, and production scheduling support. The clerk ensures accurate and timely workflow execution and serves as a communication link between Production, Customer Service, Engineering, and other internal teams.

Key Responsibilities

Employees in this role may be assigned to one or more of the following focus areas based on business needs:

Order Processing

  • Enter and maintain order details, schedule changes, and priorities in the ERP system.
  • Review and process customer orders, ensuring accuracy and completeness.
  • Route orders to Engineering or Production as required.
  • Validate parts data and verify product codes.

Document Control

  • Release engineering prints and technical documents; ensure compliance with requirements.
  • Review assembly drawings, parts lists, and other technical documents for accuracy and completeness.
  • Generate planners, daily reports, and maintain document records.

Logistics & Shipping

  • Prepare and complete shipping paperwork, including bills of lading, invoices, and customs documents.
  • Coordinate part shipments and logistics between plants and with carriers.
  • Track shipments and update shipment status in the system.
  • Troubleshoot and resolve shipping and freight billing issues.

Customer Service

  • Respond to customer inquiries and resolve issues.
  • Provide product information and process consignment or service shipment paperwork.
  • Maintain customer records and escalate complex issues as needed.

Production Scheduling Support

  • Create, update, and distribute daily/weekly production schedules as directed.
  • Maintain production logs, order status boards, and schedule reporting tools.
  • Track progress of orders and escalate delays or issues as needed.
  • Support continuous improvement efforts and workflow documentation accuracy.

General Duties

  • Perform general administrative duties to support operations and planning.
  • Communicate schedule adjustments, shortages, and customer-driven changes to Production.
  • Work well in a team environment and maintain a clean and safe working environment.
  • Other duties as assigned.

Qualifications

  • High School Diploma or equivalent required; additional business, admin, or manufacturing coursework preferred.
  • 1-3 years of experience in manufacturing, scheduling, planning, or administrative support preferred
  • ERP/data entry experience required.
  • Proficient in MS Office-especially Outlook, Excel, and Word.
  • Strong attention to detail, accuracy, organization, and follow-through.
  • Able to communicate clearly across multiple departments and shifts.
  • Comfortable working in a fast-paced production environment with shifting priorities.

Working Conditions

Primarily office setting within a manufacturing facility. Frequent walking to production areas, exposure to moderate noise, and occasional need for PPE. Extended computer use required.
