Job description

Overview
We are seeking a highly organized, proactive Executive Business Administrator to support the VP of Delivery & Programs Operations. This role is critical to enabling leadership effectiveness and driving operational excellence across the organization.
As a trusted partner to the VP and leadership team, you will manage complex business rhythms, optimize executive time, and ensure seamless execution of key priorities. You will play a central role in connecting teams, driving clarity, and supporting a high-performing, collaborative culture.
Responsibilities
Executive Support:
- Own and manage a complex, high-volume executive calendar with a focus on strategic prioritization and alignment
- Coordinate domestic and international travel, including end-to-end planning
- Act as liaison across stakeholders
Business Operations & Rhythm of Business (ROB):
- Drive and coordinate the VP's ROB including meetings and cadences
- Track key action items and commitments
Events & Team Engagement:
- Plan team meetings, offsites, and morale events
- Manage logistics, vendors, and budget tracking
Operational & Administrative Excellence:
- Manage VP's expenses and team procurement as needed
- Support recruiting coordination and onboarding
- Maintain team infrastructure (DLs, Teams, SharePoint)
Cross-Team Collaboration:
- Partner with Chiefs of Staff, Business Managers, and admins
- Handle highly confidential information with discretion
Qualifications
Required/minimum qualifications
  • 5+ years Administrative, Business Support, or customer service experience in an environment with an emphasis on scheduling meetings/events, travel management, and administration work for executive/upper level management.

Additional or preferred qualifications
  • Bachelor's Degree in relevant field (e.g., Business Administration, Human Resources [HR], Marketing, Communications, Psychology, Sociology) OR equivalent experience.
  • 2+ years experience serving as mentor to others.

Business Support ATR-D - The typical base pay range for this role across the U.S. is USD $31.49 - $51.97 per hour. There is a different range applicable to specific work locations, within the San Francisco Bay area and New York City metropolitan area, and the base pay range for this role in those locations is USD $42.93 - $59.33 per hour.
