Job description

Flagstaff Ranch Golf Club, located in Flagstaff, AZ, is pleased to announce an excellent career opportunity for a Member Relations Director! We are seeking a driven individual who is eager to learn, contribute, and grow within a fastpaced hospitality-focused property organization. As part ofTroon, you’ll contribute to a global leader in golf and community management.

The Director of Membership and Communications serves as the Ambassador for the Club and ensures that all members and guests receive the highest level of service during his or her time at the Club. This position requires the ability to interact with members, guests, and fellow team members in a very positive, confident, and friendly manner.

Primary Role

Be the Club “Ambassador” to welcome members, prospects, and guests to the Club and community. Candidate should possess outstanding interpersonal skills, a polished and professional image as well as creative communication skills, initiative, integrity, and resourcefulness. This candidate must also enjoy working with both Staff and Club members.
This position requires excellent organizational and time management skills, along with the ability to coordinate details and prioritize work on a daily and weekly basis. An excellent memory for names and faces is essential. While this position reports directly to the General Manager, the individual also works in conjunction with the Membership and Marketing Committee. This is an in person on site position.

Essential Duties

  • Develop and execute marketing tactics and strategy that enhances the awareness of the Flagstaff Ranch brand and communicate the story and ongoing execution of the overall community membership marketing and sales plan, working collaboratively with onsite club management, Board and Committee, and the Troon corporate team.
  • Drives the content development and facilitates production of all membership-related materials, including but not limited to prospecting, sales, and member communications; website; social media channels; membership sales kit; and documents associated with onboarding.
  • Creates and executes digital marketing and advertising in accordance with the budgeted plan.
  • Conducts marketing activities as designated in the master marketing and sales plan, such as competitor analysis, new homeowner programming, community networking, Realtor relations, and presence/participation in member events.
  • Seamlessly integrates with the Membership Committee; Effectively reports, tracks and communicates results & data. Manages a Customer Relationship Management (CRM) system and Membership Prospect/Sales Report, and demonstrates this through an exceptional understanding of these tools and weekly delivery of statistics related to leads (quantity and source), prospect pipeline (sorted by rank), sales (paced by budget forecast) – as well as communicating feedback from prospects who decline to join, and results specific to marketing initiatives.
  • Lead and implement a sales journey that gracefully connects potential new members to Flagstaff Ranch using current member Ambassadors.
  • Oversees all membership paperwork related to sales/upgrades/downgrades and resignations:

                       Creates the incoming new member file and ensures the accurate completion of designated documentation in accordance with the bylaws.

                       Accountable for ongoing maintenance of all member files, accurately recording pertinent activity and paperwork.

                       Ensures that member files are stored in a secure location.

  • Leads the content, production/packaging, and delivery of thorough and accurate onboarding of every new member, ensuring that:

                      The entire process follows a structured plan

                      The materials are professionally presented

                      The orientation agenda includes key department leads

                      The member gains an understanding of every element of the club, how to use it, and who the individual department leads are.

  • Supportive team player who actively contributes in staff meetings, member events, and member event programming, and effectively communicates information that helps all associates increase their understanding of membership goals, changes to policies and procedures, activities/processes related to member activities, satisfaction, and retention.

Qualifications/Skills

  • Minimum of 3 years’ experience working in private club or semi-private club sales and marketing. High-end hospitality experience in a sales role or similar may also be considered.
  • Bachelor’s Degree or equivalent
  • Must be highly motivated, goal-driven, and a self-starter.
  • Must possess excellent written and verbal communication skills.
  • Must be highly organized, efficient, and detail-oriented.
  • Must have excellent interpersonal/relationship-building skills.
  • Ability to multitask in a high-volume, fast-paced environment
  • Must be physically able to stand, sit, stoop, bend, and lift up to 20 lbs.
  • Must be able to conduct walking tours of the property.
  • Ability to study, analyze, and interpret complex activities and/or information to improve new practices or develop new approaches.
  • Proficient in the use of a CRM tool, CMS, and website management.
  • Knowledge of Canva and social scheduling tools preferred.
  • Proficient in Microsoft Office (Excel, Outlook, PowerPoint, and Word).
