Work Hours: 9:00 to 5:00/40-hour work week

Description:

We are seeking Legal File Clerks to assist with a comprehensive cleanup and organization of our E-file room. This project involves the assessment, cataloging, and proper handling of employee files, requiring both physical labor and strong computer skills. The ideal candidates will be responsible for determining the status of employee files, managing confidential information, and ensuring compliance with retention policies.

  • Review and assess 18 filing cabinets and 20 boxes of employee files to identify active vs. terminated employees.
  • Perform data entry, including lookups on spreadsheets, cross-referencing Excel documents, and updating active and terminated rosters.
  • Catalog inactive files into the Iron Mountain system for offsite storage, ensuring compliance with the retention policy of 10 years.
  • Engage in physical activities, including moving files, packing boxes, and working collaboratively at a table with another team member.
  • Scan documents using a copier and scan-and-go method, and upload files into the SharePoint system as required.
  • Maintain a high standard of confidentiality while handling sensitive employee records.
  • Adapt to a flexible work style, efficiently managing tasks such as sorting, logging, and organizing files as needed.

Requirements:

  • Bachelor's degree is preferred; however, significant administrative experience may be considered in lieu of a degree.
  • Strong computer skills, particularly with Microsoft Excel and data entry processes.
  • Ability to handle physical demands of the job, including standing, moving, and repetitive tasks in a confined space.
  • Attention to detail and the ability to work at a fast pace.
  • Demonstrated discretion in handling confidential information.
  • Proven reliability and accountability in a work environment.
  • Excellent communication and collaboration skills to work effectively onsite with the project manager and full-time staff.

Physical Requirements:

  • Ability to engage in physical labor, including lifting, moving boxes, and standing for extended periods.
  • Comfortable working in a small, busy environment with the need to move around frequently.
