Job Title: Project Operations Coordinator
Role Overview
We are seeking an organized and proactive Project Operations Coordinator to join our project management team. You will be the "glue" that keeps our cross-functional teams aligned, informed, and on track. You will support senior project leadership by managing the day-to-day administrative and operational rhythm of our projects, from tracking task completion to facilitating team communications and documentation.
This role is ideal for an early-to-mid-career professional who excels at multitasking and thrives in a dynamic environment. Whether you are managing the backlog in Jira, facilitating project meetings, or identifying process bottlenecks, your contribution will be essential to ensuring our project outcomes are delivered on time and within scope.
Key Responsibilities
Project Administration & Synchronization
• Workflow Management: Assist in the development and maintenance of detailed project plans, schedules, and task lists. Monitor progress and ensure that all team members are aligned with current project priorities.
• Meeting & Communication Cadence: Schedule and facilitate project status meetings, prepare agendas/materials, and capture action items. Act as a central point of contact for team inquiries.
• Tooling & Data Hygiene: Maintain project management platforms (e.g., Jira). Ensure data is accurate, tasks are properly updated, and project dashboards reflect the real-time status of the work.
Reporting & Continuous Improvement
• Progress Tracking: Prepare and distribute status reports to stakeholders. Proactively highlight risks, issues, and deviations from the project plan.
• Operational Excellence: Identify opportunities to improve team processes. Recommend best practices that increase efficiency and streamline the flow of information across departments.
• Administrative Support: Provide high-level support to the project management team, including calendar management and coordination of correspondence, to ensure leadership can focus on high-priority decision-making.
Qualifications & Requirements
Minimum Qualifications
• Education: Bachelor's degree in Business, Management, or a related field (or equivalent professional experience).
• Experience Baseline: Experience in project coordination, administrative support, or a role requiring high-level organizational oversight.
