The ideal candidate in this role should have a positive attitude and an active, energetic mind that is characterized by highly ethical practices and a commitment to inclusivity, openness, flexibility, integrity, and kindness.

Duties and Responsibilities

The Administrative Office Assistant provides confidential, high-level administrative and office support to the President's Office. This position plays an essential role in supporting the efficient day-to-day operations of the office while providing exceptional customer service to students, employees, campus partners, visitors, and members of the public.

As the first point of contact for the President's Office, the Administrative Assistant welcomes visitors, responds to inquiries, and directs individuals to the appropriate resources with professionalism, discretion, and care. The position is responsible for managing correspondence, maintaining confidential records, coordinating schedules, and meeting logistics, supporting events and hospitality, and processing purchasing, travel-related activities, and reconciliations.

The Administrative Assistant exercises sound judgment and discretion in handling sensitive and confidential information and applies campus and CSU policies, procedures, and protocols to support executive-level operations. Success in this role requires strong organizational and communication skills, attention to detail, adaptability, sound judgment, and a collaborative, service-oriented approach to supporting the President's Office and advancing the mission of the University. Other duties as assigned.

Essential Qualifications

High School diploma or the equivalent and at least one year of general office experience. Possession of fundamental written and oral communication skills, including a basic foundation in English grammar, spelling, and punctuation. Ability to understand basic office procedures, operate standard office equipment and software, and perform basic arithmetic. Possession of basic typing and keyboard skills. Ability to provide work direction, train, and provide guidance to other employees. Ability to make recommendations on employee staffing issues. Ability to coordinate events and special projects.

A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to complete the background check satisfactorily may affect the continued employment of a current CSU employee who was conditionally offered the position.  

License/Certifications

A valid California driver's license and/or reliable means of transportation.
